Q: Files are disappearing from mac mini server

I am running 10.8.5 on a mac mini server running 2.2.1. Files keep dropping off at the end of the day about once a week. Sometimes it's a couple hundred files, sometimes 90% of the drive this is missing. The second drive of the mac mini is partitioned into 4 separate drives where the files keep dropping. It is speratic and not consistant by no means. We do have backups but the problem is these files always drop off before the backup runs at 2:00 in the morning. I've tried moving backup times around but that still does not get the files. We end up losing a days work when this happens. We run two shifts so files would drop between 11:00 p.m. til backups run at 2:00 a.m. I've floated this backup time starting at 11:00 p.m. also but files would still drop off before it runs.

Any one else having this issue? I've tried resolving this to no avail and could use help.

Thanks in advance.

Are there any scripts running at a specific time? Specific additional software running, like an anti-virus or a clean up tool?

Is there a mention in the logs during these "drop offs"?

    http://www.etresoft.com/etrecheck

Run this tool "etrecheck", edit any personal info and post the results here, so we can see what processes are running or any other "strange" tools.

I have never seen files drop off during all my years or system engineering, weird!

It is very strange...even stranger it seems to be directories that are closer to the end of the alphabet.

Below is the information you requested. I do have a back up drive which you can see plugged in, this is not usually plugged in. Also, I have recently installed Disk Drill to try and find the files.

Your startup partition is almost full, as well as the other partition.

The other drive present in your mac mini is not used at all, why not?

How do you backup? Because the external drive is full as well, perhaps the backup script does something strange to clean up or preserve disk space, can you check on that?

Everything seems normals, but for a server it's pretty full, low on memory (install 8GB or more) and the backup drive should be twice the amount of data used.

Also start using the second drive present in your macmini.

That second HD was used for Time Machine for 4 macs but got full too quickly so we no longer use it for that.

What I think I am going to do is use the other drive for our finished work. Which will free up about 250gb of space.

So if you think the issue is because of the space issue, hopefully by doing this will resolve the issue.

Not exactly sure if that will fix it, it looks more like some sort of clean up script running periodically.

Did you do a hardware test to check whether both drives are ok or not?

    Run this extended SMART utility

    http://www.volitans-software.com/smart_utility.php

to verify both drives are OK.

Has the issue appeared the last week? You can setup some precautions with Carbon Copy Cloner, but if the issue occurred the last couple of days, that's unlikely.

Not sure what I am looking for. The Server log doesn't report back the day before and as far as I know, no scripts are running. We use Retrospect for back ups and without those, we would really be in bad shape.
