Q: Using Numbers to create a document

Hi

I want to create a document in Numbers that will be used as a presentation and also as a bound document - I want to do this rather than create charts in numbers to save as PDFs to then place them into InDesign or Powerpoint.

I have created one worksheet that will contain the charts and other content (explanatory text and diagrams etc) but it doesn't show clearly where the page edges will be.until I go to the print command. I have had to draw guides for each page and estimate where the content will go. Doesn't seem to be a view that I can use to do this.

There will be many other worksheets that will contain the data tables to link to the main Worksheet.Screen Shot 2016-04-05 at 17.19.56.pngScreen Shot 2016-04-05 at 17.20.04.png

Is there a way to see the document (in the top view) as if it where A4 landscape pages?

Thanks for any ideas

Numbers, in my opinion, is terrible at this particular task. I think you have show how the content will be paginate in your own question.  You will have to move content around to get it placed so it fits on the pages as you want.

If I have to do this for very many passim I would move it to Keynote and do all the work there

    Hi Wayne

Yeah, I did think this would be the situation - I really do think they are missing a trick not combining a layout programme with a data driven print based software.

I have setup a few pages now (based on placing items by measurement - but it certainly isn't an easy process.

I've used Keynote in the past for presentation of text but hadn't thought of it for this kind of job.

    Thanks

    Hi Kev,

    This User Tip may help

Print Layout Guide for Numbers 3 on Mac

    Hi Ian

I saw this post the other day - and it certainly helped me.

My difficulty is that locating many pages on a worksheet doesn't seem possible - only when you go to the print command can you see the 'pages' defined. If the client wants to add a page in the document then it would mean I have to copy and move every page after it to create the space for a new one.

I normally work in InDesign and Quark - so I've become reliant on paginations being easy to move around. I think Wayne's suggestion of Keynote is my likely route for me.

    Thanks for your help

    Hi Kevin,

Thanks for the green tick, but it does belong to Wayne who solved the problem (use KeyNote). Unfortunately, there is no way to undo a green tick or gold star.

However, your reply has got me thinking about how to create Print Layout Guides for multiple pages in Numbers. I have tried this, but a small error in the size of the guide on Page 1 accumulates until it is inaccurate on other pages. Time to put our thinking caps on and revise that User Tip .

Is there anybody here who can find a way? Maybe vertical lines distributed evenly within each top and bottom page margin to "force" page breaks? Change the colour of the lines to white so that they don't show when printed on paper?

    Hmm...

    Regards,

    Ian.

    Hi Ian

I'm new to this forum and so have ticked ticks and pressed stars accidentally - but still all valid advice!

I like the way you are looking for a workaround - I'll be interested to see any development on this. It would be nicer still, if Apple looked to developing a solution - I can see it would benefit having more control over the page setup and option to have many pages within a worksheet

    Thanks again

    Hi Kevin,

Numbers '09 has Print View and Layout View (both editable) but those features did not make it into Numbers 3.

I am tempted to recommend Numbers '09, but that is "orphanware" and nobody knows when an update to OS X will fail to support it. My way forward is to use Numbers 3 and find ways to make it work.

It would be nicer still, if Apple looked to developing a solution

You can send feedback to Apple (Menu > Numbers > Provide Numbers Feedback) with an enhancement request. Apple will read your feedback, but don't expect a reply.

    Regards,

    Ian.
