Accepting Meeting Requests in Outlook Does Not Also Accept Them on iPhone

My co-workers and I have the following issue with accepting invitations from Outlook:

1. Meeting request comes in.
2. Desktop client like Outlook or Entourage is already open so meeting request is accepted on the desktop.
3. Although event shows up in calendar on iPhone correctly, meeting request is still sitting in iPhone's "invitation queue" with the status of "Maybe".
4. In order to clear from queue, have to accept again on iPhone, thus sending a duplicate acceptance email to person who requested the meeting.

Shouldn't these things just clear out of the queue automatically if they are accepted/rejected from a desktop client?

Yup, it's a bug. There are some other threads about the same issue. What I have started doing to get around it is to only accept/decline invitations on the phone rather then Outlook. It seems to sync properly back to Outlook. However, you do not have the option of editing the reply text from the phone.

Hopefully it will be fixed in an upcoming release (after they fix the 3G issue, of course).

This KB post has nothing to do with the problem. The KB post is about creating appointments and this thread is about accepting invites. I have noticed this issue since day 1 - it has been issue on 2.0, 2.0.1 and 2.0.2.

It is annoying to see the iPhone list all these as Maybe when they have been accepted in Outlook and Exchange.

It would be nice if Apple would confirm that this is indeed going to be fixed in the next update.

Confirmed here, too.

I've got Outlook 2007 running on Vista Business SP1 with Exchange 2003 SP2.

I just tested sending an invitiation from a different client running Outlook 2003 on the same Exchange server. The invitation showed up both in my Outlook 2007 Inbox and on my iPhone (2.0.2). I accepted the invitation in Outlook and as fast as I could get into my iPhone calendar it was showing "Maybe", as if that option had been chosen instead of Accept. The "Accepted" message showed up in email on both the iPhone and in Outlook, though, showing the meeting name and location.

A second invitation sent the same way but NOT accepted yet in Outlook showed no status on the iPhone (Accepted, Maybe or Declined) but was instead blank. I accepted this one on the iPhone and the "Accepted" message showed up on both the iPhone and in Outlook. Interestingly, the Location failed to display in the Outlook message, though it does appear in the iPhone's "Accepted" message, as well as in the Calendar event itself in Outook and on the iPhone.

When I "Accepted" the first meeting on the iPhone (that had already been accepted in Outlook), a new "Accepted" message showed up in Outlook and the Location was now blank.

I would say there are a few loose ends.

I have been struggling with this issue since day 1 of the the Exchange integration release. I'm kind of shocked that it's not fixed in either 2.0.1 or 2.0.2, despite being widely reported. It's such a glaring bug.

I'm losing confidence that the iPhone will be a solid enterprise device anytime soon, but the optimist in me is hoping for some big steps forward with 2.1 (September timeframe?).

Same Issue. I have tried to determine if a common thread exists for delgates sending or accepting the appointment request, but it seems to be common to every combination.

My iPhone is creating and leaving "maybe" appointments in its queue for every appointment in the calendar two weeks prior (my setting) and into the future. Interestingly, it is creating separate "maybe" items for separate occurances of the same recurring appointment.

A few observations from my experience:

1. Accepting on iPhone will place appt in cal and the appt will be appropriately deleted from the appointment queue. However, it will show as tentative in Outlook.

2. The opposite occurs if accepted from outlook. outlook will handle it correctly, but it shows in the iPhone queue as "maybe"

Its almost as if the iPhone is reading "accepted" as "maybe" and Outlook is reading "accepted" as "tentative".

MY SOLUTION: For the moment, the cleanest way I have found to get things correct in both calendars is to accept only from Outlook. Unfortunately, this leaves my with a long queue of maybe appointments on the iPhone, but the calendars are all accurate.

This is a major bug and severaly limits the iPhone as an enterprise solution. WE WILL NOT ROLL THIS OUT FURTHER UNTIL THE ERROR IS FIXED.

Hi all,
I had the same problem. I fixed it by changing my Outlook settings to delete invitations after I accepted them. When I did this, the invitations started disapearing as they should on the iPhone. Deleting is the default setting so most users probably never run into this issue. In Outlook 2007, the setting can be found in Tools\Options\Preferences tab\Email Options\Advanced Email Options. It is called "Delete meeting request form Inbox when responding".

Hope this helps.
Mike
