i-Photo and Portfolio

Does anyone here use i-Photo in conjunction with Extensis Portfolio? If you do then I have a question about Folder Sync and watch.
As the question is a bit long winded I will put it here if anyone uses Portfolio. Thanks.

John,

I am familiar with Portfolio but no expert.

Maybe this will help: iPhoto does not play well with others. It will only deal with photo files that have been imported into its database - iPhoto Library Folder. It jealously guards this database and will not give other programs access for sharing or synching. It will export a copy to different apps and allow editing in another program under strict rules.

Hi Peter,
Thanks for your reply. My fiance and I both have i-Books with thousands of photos in i-Photo. We have catalogued them in Portfolio with the same folder names as they have in i-Photo.
Now we want to copy loads of them off onto an external hard drive. There is no problem with that as we will export them to folders on the external drive that will be named the same as in Portfolio and i-Photo. As we run our own website in makes sense to name them all the same to save us time when we need to find something.
What I can't quite figure out is how do we update Portfolio so that it knows of the photos new location? I thought folder watch or sync would do it but I'm not so sure as some people have said that when you have moved the photos to their new location you then have to drag and drop them back into Portfolio and re-generate the thumbnails so as to update the location of the photos.
I have read through the relevant part of the manual a few times but I'm still not that much wiser.
I was wondering if you can throw any light on the matter or how do you catalogue photos that you remove from i-Photo?
Any help, hints or tips will be greatly appreciated.

John,

When you say remove from iPhoto you mean export? If you remove a photo from iPhoto (move to trash and then empty trash) it is gone.

Cannot offer more advice on Portfolio since I've only had occassion to browse through it looking for photos.

Peter,
Thanks for the wuick reply. Yes I mean we will export from i-Photo to the external hard drive and then delete from i-Photo.
I have been dealing with photography and computers for years but Portfolio weems to have some strange structures. Mind you, I looked at i-View Media before we bought Portfolio and that doesn't seem much better.
I guess if it wont do, or I can't figure out how to do, what we want it to I could alays try to make a script for it and see if that will work.

Perhaps there is another option. Moving your iPhoto Library Folder to the external drive and running it from there. You can also create numerous new iPhoto Libraries on the external.

MOVING iPHOTO LIBRARY FOLDER to EXTERNAL

Moving the iPhoto Library is easy.

1. Quit iPhoto

2. Go to the Pictures folder in your account (HOME). Find the iPhoto Library folder. DRAG this ENTIRE FOLDER to the destination on the external hard drive. this will COPY it to the external.

3. Now, drag the ENTIRE iPhoto Library folder that is still in your Pictures Folder to the desktop ( out of the Pictures Folder).

4. Restart iPhoto. It will ask you if you want to create a new Library or open an existing one. Choose existing and navigate to the copy you made on the external.

5. iPhoto will now open and work with the library folder on the external.

6. When you are sure everything is working you can trash the original iPhoto Library Folder on the desktop.

MULTIPLE IPHOTO LIBRARIES

Creating and switching between multiple libraries is a snap with either of these two programs

In my humble opinion you need a professional strength photo management tool - one more flexible and less vulnerable than iPhoto.

Something you might find handy here in Discussions - the clickable link.

The template:

a href="URL">name of link after this template (no space) in the message. I had to remove them so the template would not turn into a link

paste in your full URL between the quotes. Type or paste the name for the link in the space "name of link". Make sure all characters and spaces are preserved.

We did look at i-View Media before we bought the Portfolio suite. Portfolio can do what we want in some respects but it's just a matter of getting the workflow right. Thanks for the answer though.

Thanks for the hyperlink facts and the kind words about our web site.
We do already have an i-Photo library on the external hard drive from the i-Mac but we need to keep i-Photo libraries on the i-Books at the moment for when we meet potential customers.
However, once we have the workflow set-up in Portfolio we can copy a lot of photos into PDF's in portfolio and use these to show customers.
At the moment we are trying to get the best workflow to suit our purposes and as with most things these days the instruction manuals aren't always the easiest way to learn things.

John, I believe the watch folders are one of the best features of Portfolio. I think I know what you're asking, so here goes:

Assuming you want to remove photos from your iPhoto library and add them to a Portfolio catalog (watch folder "MyWatchedPhotos") on external drive (called "MyExternalDrive") then:

- add "MyWatchedPhotos" as a watched folder in Portfolio
- using Portfolio, or the Finder, add a new Folder called "Album01" inside "MyWatchedPhotos"
- navigate to this folder in the Finder
- in iPhoto, select all the photos you want to move, then select and drag them to the Finder and drop them into into "Album01" folder
- in Portfolio, click on the "synchronize folder with catalog" button, and you'll be presented with a window asking you to confirm the sync - click "sync"
- review the contents of your new folder, and if you're happy, go back to iPhoto and move the images you just transferred to the trash.

I think you may have hit the nail on the head. If I create the Album01 folder, or whatever I decide to call it, on the external hard drive I assume I will get the same result. Or is it not necessary to go that far?
At end of the day we want to keep the photos, or most of them anyway, on the external hard drive with just some, maybe 1000 or so in i-Photo, but want to know where they are when we use Portfolio.

When I opened IPhoto this morning and clicked on an album, the photo count went from what ever number of photos that had been in that album to ZERO and the photos were removed from the album and the library. I can't find them anywhere, they are not in the trash and not in the library.

I had over 1700 photos in my albums, I now have 33. I don't recall doing anything specific to initiate this process..

Do you have any experience for this and any suggestions on how to recover the photos? Or, any suggestions on what Apple Support group to PING to get some help?

Thanks in advance for any assistance you can provide.

Touch wood I have never had that problem. I would suggest that you start a new thread with your query and you will probably get some answers from people who have had similar problems.
I don't think you will get many answers here because of the name of the thread. If you call yours something along the lines of 'Help!! Lost photos' you will will hopefully get some good responses.
Hope you will find your photos.
