Screenshot file size immediately pasted into outlook is X MB HUGE

I do this hundreds of times = Ctrl+Shift+Cmd+4 on a photo of an install I do, then I paste into Office365 outlook and email the boss.


If open preview I can change file type & size and do this extra overhead of time, but even if I screen shot my adjusted photo, the outlook paste still ends up being png & 2-3MB in size = ugh. I don't need rock science sized resolution, just a nice 200-500k photo in my email.


I like the paste to appear in the email body, but it is always so HUGE when I paste, how can I change paste size of any screenshot & keep the turn-a-round copy to paste time in seconds & send off a nice 200-500k pic in my Office365 outlook email?

  1. No. There is no Microsoft Outlook resize image options like MacPro's proprietary "Mail" program offering "Small", "Medium", "Large" & Actual Size options.
  2. Don't want to use a 3rd party.
  3. Don't want "tedious".


I did crack the nut & have a secs fast resolve option here. Using MacPro's command + shift + 4, I can snap off a selected screen shot window that immediately appears in lower right corner, then right mouse click on that small lower right image & "Show in Finder", then copy & paste much smaller sized file into Outlook email body!! I'm finding "Save to Clipboard" images are several MB larger. This resolve produces 90% smaller file sizes for easy fast outbound emails.

To demonstrate, I screen shot the above post, & seconds later pasted to an Outlook email to myself. I've attached this paste I emailed to myself & you can see the crazy BIG 6.3MB size it is. I can Mac Preview open same 6.3MB shot & slide down the quality to 86k & image is not noticeable different. Is there anyway to dial down quality on my MacPro's Ctrl+Shift+Cmd+4 screen shot to jpg, pdf, or png w/ file size in 200-500k area so my email sending speed is nimble fast & not 6300k, or 6.3MB? I know I'm exposing my ignorance on pixel size, but keep in mind I work wrenches and pull cable for a living & so appreciate the thought some world-wide master mind will post up & rescue me from these bloat large emails.

I failed to mention I don't want to manually alter down quality on jpg/pdf/png/heif files. I want to paste screenshots immediately into my emails, I don't want to attached them, I want to paste & send off small sized emails so the boss can open my sent email & see inserted pic immediately.

I have Mid 2015 Macbook Pro running 10.15.2 Catalina.

I have Office 365 aka O365 from work running Outlook ver 16.32 on my Mac

There is no way I see to compress images pasted into Outlook.
