Staff icoud address

A staff members icloud i setup on her computer with her company email address but recently she was fired and she has locked me out of the computer and phone and seems to have transferred it to her personal phone number with a new password. The icloud attached to her work email is compnay owned and she should not be able to do this but as she is not returning my calls and I am not sure how to recover this data, any help or ideas on how to fix this?

I own a company and provide my staff a MacBook Pro and Iphone and iPad when they start i setup these devices with an iCloud account in the email address of the person. For example John@mycompany.com is the apple icloud user ID on all devices and backup to the cloud and when they leave the device stays with the company and all the company documents they might have or be working on are in the cloud. I have never had a problem in the past but this employee seems to have changed the recovery mobile number to their personal number instead of the company phone i setup originally and also changes the password meaning i am unable to reset the password as it sends the reset password instructions to her personal phone. I dont even know how she was able to do this and I need to gain access to this account as it has a our company property inside and I am unable to access any files on any devices as i am logged out.

This is never meant to be used as their own personal account and they shouldn't be able to transfer it to another number and I do not know how to fix this, I also need some advice on how I would stop this happening again for new and existing employees? The phone and number i setup these accounts with i still have but she has changed the password recovery number from the company phone to her personal phone meaning i am locked out.

Not necessary the account recovery is to be done every time , if one remember the old trusted number ( say 1234.... ) that is inactive , the person can visit the cellular service give his identification proof and issue a sim on behalf of the same number and insert the sim https://support.apple.com/en-in/guide/iphone/iph3f11fba92/ios in new iPhone that is purchasedhttps://support.apple.com/en-in/guide/iphone/iph1fd7e482f/ios

The Apple ID and password is active so is the 2FA active on the iCloud server , once a new trusted number is added the code will start appearing on the new trusted number , and the person can access the account .
