Numbers file with unorganized data

Hello everyone. I have a numbers file I just received from a client with 6 pages of names, addresses and phone numbers. They are all "individual" as opposed to being in a list format (see example below). Is there a way I can organize everything by name, address, phone number, etc? Thanks in advance!


Here is an example of how each of the clients were presented in the file:


John Doe

Doe appartments

123 Main Street

555-555-5555

johndoe@email.com


Bob Doe

Doe financial

456 Main Street

111-111-1111

bobdoe@email.com


...and then on and on and on.

It depends on how many you have to work with, but if it were me, I would just set it up the formulas for the blocks with five lines and copy past into each address with five lines, then do the same for the blocks with six lines. Then clean up manually if there are exceptions.


Not sure how familiar you are with Numbers but entering the formulas is dead simple. Just click in the destination cell, type = and then click in the source cell and hit enter. This should be quite quick to do.

Are they all 5 lines? And one beneath the other? If so, a quick and dirty approach could be as simple as this:





Formula in B2: =A2

Formula in C2: =A3

Formula in D2: =A4

Formula in E2: =A5

Formula in F2: =A6


Then select B2:B5, command-c to copy, click in B8, command-v to paste.


Do this for each address.


Then make any quick manual adjustments needed, select columns B:F and "remove the formulas" by command-c to copy, Edit > Paste Formula results.


Delete column A and sort to blanks are at the bottom, and delete the blank rows.


There are more automated ways, but since you only have a few pages of addresses, this manual approach may be the most efficient.
