IPhone X S Max Sent Mail

I use BT Mail and am having issues with Sent mail folder only keeping a few sent emails on both the IPhone and the BT server. How do I stop this so I can keep all my sent messages both on phone and BT server

If you can't send an email on your iPhone, iPad or iPod touch

When you make an iOS or iPadOS backup in iCloud or iTunes, it backs up your mail settings, but not your email. ...
Make sure your device is connected to the Internet.
Check with your email service provider to find out if there's a service outage.
