Mail - Are Multiple SMTP servers of the same domain possible?

Hello,


We got out own domain. With several mail users, whom are using more than one mail adres within that domain.


F.e

User 1

User1@myDomain.org

School1@myDomain.org


User 2

User.2@myDomain.org

Purchases@myDomain.org

School1@myDomain.org

School2@myDomain.org


As each email adres needs a smtp setting with the email adres as authentication to that smtp server, I see an issue with Apple Mail. As far as I can see, Apple mail doesn't allow multiply smtp servers.

Even if I name them different with the different username and their password, Apple Mail says its not allowed.

This problem counts for different OS systems, also Montery and older. How can I get this to work?


Also, for whatever reason the old smtp server doesn't get removed. Even old servers that changed already two or three times are still in their and not in use. Even a smtp server what was wrongly typed and never used is still their and won't get removed.


I know two questions, but the first one is really important to us.

You only have 1 email/smtp server. You can have as many email addresses as your server allows. Each user can authenticate on the server for their own account using their email address. What email client you use does not matter. You can set up as many users (email accounts) as you want in Apple Mail. Apple Mail is just an email client. You can not have the same email account repeated in the email client. For example, you can not have email account School1@mydomain.org created twice in any email client.

But your answer doesn't solve the issue. Apple Mail doesn't allow me to have more then one account for the same smtp server.

That is normal and understandable, however this is not the case here. The users are using their own Apple Mail app. Some are but most are not even on the same machine.


How can I delete the mail-setting of that email address without deleting the mail?

Or

How can I clean up the xml file of the Apple Mail smtp list setting?

Or

Is there a way to get those out of the iCloud settings that get transferred around?

Also in all the keychains there are no mentions of any smtp server with the old settings; however when using iCloud to sync settings they come back in the Mail smtp server list.

Works for me in several email clients.

Use your domain's webmail page to see if those email accounts exist and are working.

Thats the issue, it doesn't work. It should, I know, but how to fix that.


Don't worry they exists and are accessible. It did work for years on any new Apple device with new users, except the old users with Apple mail. My guess is that the mail local settings are damaged and the synchronised settings are corrupted.

Hence my extra questions.

I can do that, but then the (pop) SEND and received emails are locally deleted, and I should do that for each device for that user. Actually I did try that, but I have to delete the whole mail folder and nowadays's there are too much "secret" folders around in the system.

Some users are subscribed to dev forms with daily received mails for years and has many rules. They get lost too. I couldn't find any way to export / import those rules.


Any tricks and tips?

I wish Apple should create management tools.
