Can't Rebuild Mail

Tried to open Mac Mail this morning as user M&S, and got a message that Mail needs to Import my messages. Hit Continue, then got the message that the import had failed. I checked my storage usage: 364GB used; 664 avail. I tried restarting in SafeMode and got the same results. I am also the Administrator. I have two other Users: M&S, and C. Mail starts if I am logged in as Administrator, but I've never used mail as the Administrator so there are no saved emails. I looked in User M&S Library Mail Download folder and it is empty. I looked in Time Machine (external drive) and the Library Mail Download folder is empty. Not sure what to do to recover about 25K emails. Thanks

Hey FatMacUserSince1984,

If the emails you saved locally On My Mac are stored in a .mbox format, you could cancel the rebuild, remove the account, add it back to get back what's on the email server and then import the saved mailbox to get the On My Mac emails back onto your Mac.

If they're not in .mbox format, we'd suggest reaching out to Apple for further support on this matter using the following link: Get Support

For more info on importing backed up mailboxes, check out these steps:

Import mailboxes
1. In the Mail app  on your Mac, choose File > Import Mailboxes.
2. Select a source in the list, read the information that appears below the list, then click Continue.
• If you’re importing a mailbox exported from Mail or a folder in the ~/Library/Mail/ folder on another Mac, select Apple Mail. To get to the Mail folder on a Mac, click the desktop to make sure you’re in the Finder, press and hold the Option key, choose Go > Library, then select the Mail folder.
• If you’re importing messages from a Windows or UNIX computer, select “Files in mbox format,” then locate the folder containing the files.
3. Reorganize the imported messages, if you like.
4. The messages are in a new mailbox called Import in the Mail sidebar. You can drag folders and messages from the Import mailbox to new or existing mailboxes, then delete the Import mailbox.

This is outlined further in the Mac Mail User Guide here: Import or export mailboxes in Mail on Mac - Apple Support

We hope this helps out.

Take care!

Hello FatMacUserSince1984,

We have a great troubleshooting article for this that might help with the issue you are experiencing. Please take a look at it here: If emails appear to be missing in Mail on Mac - Apple Support. Please follow this guidance and perform any steps not already completed:

If the problem persists, you may need to rebuild a mailbox.

If you set up Time Machine to back up files on your Mac, you can use the backups to restore content that Mail downloaded (based on options set in Mail and on your Mac). See Restore items backed up with Time Machine."

If the issue persists, further assistance may be needed. We want to make sure you reach the right team for help with your Mac mail concerns, so we recommend that you contact Apple Support directly. Depending on your region, you may be able to reach them here: Apple Support.

Thank you for participating in the Apple Support Communities and have a wonderful day.

Hey FatMacUserSince1984,

Thanks for getting back to us with that additional information, it’s appreciated.

Let’s see if the issue happens when you set up a new user account. It cannot be one that’s already available on your Mac. It can either be a simple User account of an Administrator account. Here’s how: Add a user or group on Mac - Apple Support

Once the new account has been created, log out of your current account, then log into the new one. Once there, set up the email account that’s having problems and test the issue: Add email accounts in Mail on Mac - Apple Support

If the issue also happens in the new account, you’ll want to test the login items on your Mac: Remove login items to resolve startup problems on your Mac - Apple Support

If you’re still not able to use the Mail app in either yours or the new account, and since it also happened when your Mac was in safe mode, per the article, see if reinstalling the macOS resolves the issue:

How to reinstall macOS - Apple Support

Please let us know the results when you're able.

All the best.

mario 49, Thanks much for the answer and info. I had some success. I used a different user (my administrator acct on my mac) to see if Mail would open. It does, and once I enabled my email accounts to this user, Mail downloaded the emails that were still on the web server. However, it didn't load any of the 26K+ emails I had filed over the years to my mac hard drive, so still the same problem. I did remove log in items, and still got the same results. I did a safe mode start up, and still got same results. I reinstalled Ventura 13.2, and got the same results. At least I'm consistent.

I know that the missing saved-to-mac emails are still on my mac. I used a data recovery app and it found the 25K+ emails. I saved them to a thumb drive. So..., if I user Mac Mail as the Administrator: it opens and downloads current web mail, but does not even try to load any saved-to-mac emails (I'm guessing it is because these were all done under my normal user account).

If I user my normal user account, and try to open Mail, I get an immediate message that Mail needs to import my messages. I can either cancel or continue. If I cancel, Mail closes. If I click continue, Mail tries to import messages for a few seconds and then I get this notice, "An error occurred during the import. Make sure you have available space in your home folder and try again." I can either cancel or quit. My Home folder for this user is 312GB used. For my MAC HD, the total Storage used is 365GB or 1.03TB and it lists Mail as 8.69GB.

I still can't figure out why Mail, upon opening, auto goes into a rebuild, and then can't complete it, and says check storage on Home Folder.

Is it possible to reinstall Mail?

Even if that works, and Mail opens for my normal user account, how do I get mail to load all my saved emails and email folders? I'm sure I have them now on a thumb drive (using the recovery app) and I'm guessing since that worked, they are still somewhere on my Mac's HD.

Thanks again for your time and effort.

Gena_D, Thanks so much for the suggestion. I read your article. I don't think I described my problem very well. I can't get Mail to open all the way. When I try to open it, I get a message that Mail needs to import my messages. I can either cancel or continue. If I cancel, Mail closes. If I click continue, Mail tries to import messages for a few seconds and then I get this notice, "An error occurred during the import. Make sure you have available space in your home folder and try again." I can either cancel or quit. I'm not sure how to check my home folder storage, but when I look at Settings--General--Storage, it says 363 GB of 1.03 TB used. I don't know if Mail is stuck in this Rebuild mode because it can't find my 25K+ emails stored on my Mac hard drive, or if I have an available storage problem. Again, thanks for taking the time to look at my problem.

UTBadger,

Thanks for the info and help. Took me awhile to figure out that all my On My Mac emails are .emlx format. I think I will be able to reload them, based on some of the links you sent, if I can just get Mail out of the endless loop of opening, going straight to the rebuild, which it can never do, and I'm left with the only option of closing Mail.

Anyway, I will be going to Apple Support. Thanks again for the help.
