Cell validation against a list of predefined values

I want to analyse transactions against a list of predefined categories.

So each transaction needs a category assigning to it but I want to restrict the user to a list of valid values probably stored in a separate sheet. I also want to perform this validation in multiple sheets; e.g. one sheet for each batch of transactions.


I am on Mac OS 14.2.1 on a 27" iMac.

Have you thought about using Pop-Up Menu?


Add controls to cells in Numbers on Mac – Apple Support (UK)


There's a limit of I think 25 there, but Pop-Up menu is useful for making sure only certain values get input.


Numbers does not have Excel's ability to keep the values in a range of cells. The values go directly into the Pop-Up menu.

It may sound like nit-picking but it is important to realize that a sheet in Numbers contains a blank canvas on which you place tables, charts and other objects. When you write sheet I'm guessing you really mean table. If you are new to Numbers it can be useful to spend a little time with the User Manual at Help > Numbers Help in your menu.


If you have 'Show suggestions when editing table cells' turned on at Numbers > Preferences then Numbers will automatically make suggestions from cells above and below in the column in which you are entering data. You may find that feature helpful if you are not aware of it already.


Enter text and numbers in Numbers on Mac – Apple Support (UK)

Turn auto-complete suggestions on or off.
