Numbers: Trying to auto populate a list from one table into another once a checkbox is checked.

I’m trying to figure out how to input recipes into a table (ingredients list will initially be inputted manually as seen below) but when I check the recipe off I would like to have it auto populate the ingredients list into the table named “Grocery list” where I can then select or deselect if I have the item on hand. Unsure if you can auto populate the ingredients that are lumped together into individual cells in the second table.

Hi Lindsay,


Try this



Insert a table "Show all Recipes" with a Tick Box to put you in charge. The "Recipes" table has a Filter: Column H (Show?) "Text is Show".

With a tick in that "Show all Recipes" Tick Box you can see all rows and you can tick or untick in column A in the Recipes table.


Untick the "Show all Recipes" Tick Box to display only the chosen rows in "Recipes" same filter, Column H (Show?) "Text is Show".





In the Grocery List table:


Formula in A2 is IF(Recipes::$A2,Recipes::C2,"")

Fill right and fill down.


You can move (Cut and Paste) the Grocery List to another Sheet and print only that Sheet.

Numbers and other spreadsheet apps are not well designed for uses like that. If you haven't done so already, I recommend spending some time with the templates at File > New in the menu to get an idea of efficient use of Numbers.
