How can I obtain the refund for my Trade-In?

On September 22, I made a purchase through the Apple Store for an iPhone 17 Pro Max and selected the “Trade In My iPhone” option. I paid the total amount indicated. Since it was my first time doing this, when I went to the Apple Store in Houston at The Galleria mall, I spoke with an employee and explained that I had chosen the Trade-In option. He reviewed and accepted my device.
In the end, I had to pay an extra $80 because my iPhone 13 Pro Max had issues with the Bluetooth and Wi-Fi signal. However, the employee did not tell me when I would receive the refund for the trade-in.
To my surprise, I later received the kit to send in my iPhone, but I had already traveled and left the country. Could you please help me with this matter? I am attaching the purchase receipt.
