Q: Appleworks mail merge

I've used Appleworks since the early 80's.  I have used mail merge for certificates, address labels, name labels with no problems.  Now I'm faced with using Avery 5143 name badge labels.  They come two labels on a 4" x 6" sheet.  There was no problem in setting up the data base.   Each label has the same information on the upper portion of the label. (Meeting logo) The problem is that the mail merge items of "Name, Town, Date"  prints the same name on both labels on the sheet before going to the next sheet and new names etc., wasting one name label.  Is there anyway using mail merge to print one name per label on this product that has two name labels per 4" X 6" sheet?  I need to print 40 different name labels each month and using mail merge would make it easier as long as I don't waste half of the labels.

    Why are you using mail merge? You can print labels directly from the Database, using the layout to add any static text or images. However Avery 5143 is not included in the labels list (which is years out of date) so you will have to set it up manually.

     

    Create a new layout, choosing Labels as the type, with the menu set to Custom. You will be asked to specify the page label size and the number of labels across the sheet.

    I have 500+ Avery 5143 labels to use as ID badges for members who attend a specific meeting.  I tried what you suggested in creating a custom label.  I was able to get the size and margins with no problem.  But I was not able to get it to show only two labels per sheet.  Using mail merge I can print the two labels per sheet with one problem as it prints the name twice.  Waisting on label.  The custom labels ran down in a column for ten labels before it would go to a new sheet.  I'd hate to have to add two different names to each sheet of 2 labels manually.

    Create a database - just one field will do to get started.

     

    File menu>Page setup - create a custom size 4 inch by 6 inch or equivent in metric. Portrait format.

     

    Set the margins to match those on the label sheet.

     

    Layout>New Layout, click the 'Labels' button, set the menu to 'Custom' , click OK.

     

    Set 'Labels across the page' to 1. Set the size fields to the label size.

     

    Now in 'Layout' you can moved fields about or place graphics. Test by printing on plain paper and holding over the label sheet, so as not to waste labels. You may need to fiddle with the settings to keep the printing on the label.

    Hi Ed,

     

    I'd make these tweaks to Roger'sinstructions:

     

    Measure the distance from the top edge of the sheet to the top edge of the top label. Set your top margin to this value.

    Measure the distance from the left edge of the sheet to the left edge of the top label. Set your left margin to this value.

    Set your bottom and right margins to zero.

     

    In the Layout menu, make sure you choose "New Layout" (as Roger suggested), and NOT "New Labels Layout".

     

    Note that the Label size is measured from the top edge of the top label to the top edge of the bottom label—include the space between the lables.

     

    The width measurement is less critical, as you have only a single column of labels on your sheet.
