Q: transferring outlook data from pc to mac

Hi everyone,

 

I just purchased a 2012 iMac and my attempts to transfer data from my Windows Vista PC to the Mac using Setup Assistant have totally failed - I keep getting the "error preparing your information for transfer" message with no indication of what is going on and no help from the various google searches I did.

 

So now it occurs to me - I have most of my data on an external hard drive anyway, and I read articles talking about how to keep the playlist/ratings/album art/other metadata intact by making sure to copy and rename the iTunes library files. So.... I should be able to migrate that data manually. Then, all I really need help with is migrating the data from Outlook.

 

I have Outlook 2002, which contains several years of e-mail, calendar entries, contacts, and notes. What is the best way for me to migrate this data to my iMac, assuming that I am using the default mail/calendar/contact/note programs (I will NOT be using Outlook for Mac)? In the past, all I had to do to migrate from one pc to another was to simply find and copy over the *.pst files from one Outlook directory to another. Since I'm not using Outlook for Mac, I assume it's more complicated than that. My google searches have given me various contradictory and often not 100% effective solutions. Can anyone direct me to a best/fool-proof approach to doing this? As long as I have clear instructions, I don't have any problem at all with manually copying files - I just want to make sure it gets done right.

    I'll try them, but I've not had much luck with Apple Tech Support in the past. Almost every tech support call for anything invariablly seems to go the route of "reboot this, reboot it again, ok now do a hard reboot and erase a bunch of data," etc.... Also, Apple folks have previously told me that WMA would import the email seamlessly, and that has already turned out to be false.

    Purchase Emailchemy, it will transfer your emails from Outlook to Mail and preserve folder structures, dates etc.

     

    I am less sure about Calendars and Contacts, but Outlook can export both as .csv files, and .csv files can be converted into anything you want (or your Mac needs)

    Well, I finally tried option B. I was able to find .mbox files using that method, but the files were of neglible size - hard to believe they are the imported messages from Outlook which I know are collectively close to 1 GB in size. I'm probably going to try Emailchemy or O2M at this point since I seem to have exhausted all other possibilities.

    Emailchemy is far superior, download the trial and see how it works before you spend any money.

    One thing I'm not clear on regarding Emailchemy. As I am reading Outlook inboxes on PC and writing them to iMail mailboxes on Mac, do I need to install the software on both machines? And if so, does the same registration key unlock both versions?

    That is nothing to do with transferring the data files, registration is for Outlook itself, Mail (there is no iMail) will open the data files.

    In response to your question regarding where to install, Emailchemy installs on your Mac and reads the pst file from Outlook.

     

    You are unclear about how Emailchemy works at present, read the documentation. You do not need access to Outlook, you need Outlook's data files (pst files)

    Just thought I'd follow up regarding my success (or lack thereof) at this point. I ran the Emailchemy demo and was encouraged to note that the inboxes it created and which were imported into Mail did indeed show most messages from my Outlook .pst files. Emphasis on most. There were still mailboxes where some messages did not covert, and one mailbox where there was an extra message in the converted mail box. One of the mailboxes in which 43/47 messages were converted (my "Sent" mailbox) I looked at on a message-by-message basis. I found the four emails that were not converted, but cannot derive any pattern common to all four. The largest number of messages per inbox not converted was about 20, in an inbox used for business-related mails - this one got 1789/1809 converted. This is admittedly a better result than I had achieved with Thunderbird, but still a little disappointing with a $30 price tag. I went through the FAQ and documentation and did not find anything specifically addressing this issue. I'm just wondering if any other Emailchemy users have noticed this and were able to apply a fix? Otherwise, I could try other approaches. I'm willing to pay money at this point, I just want it to work...

    I have had a few failures with Emailchemy but rarely, I would use Outlooks' own tools to repair and rebuild the pst and try again.

    I used scanpst.exe to scan the main pst file and the archive pst file. It told me there were minor problems and indicated that repair was optional for the main pst file (outlook.pst) and no problems with the archive.pst file. So I went ahead and repaired outlook.pst, and after noting that the original was saved as a backup (outlook.bak), I copied over the new outlook.pst file and again converted using Emailchemy and then imported into mail.


    Bottom line... got the exact same result, most messages converted, but the message counts were exactly the same as before, just a 100 messages or so shy of the total number. So scanning and repairing outlook.pst did nothing.

     

    I feel like bashing my head against a stationary object right now. Am I the only one with this problem? If you don't have any other ideas, let me just say thank you at least for helping me this far. I don't know if there are any other solutions. I searched cnet and came up with a handful of converters, none of which were highly rated.

    Haven't hd tis hppen to me, on the few occasions I have had a problem with a pst I have found that repair works. Apologies, no more ides.

    Update: I tried installing MS-Office for Mac (trial version). I heard that you can import the Outlook files to Outlook for Mac, and then import from Outlook Mac to Apple Mail. Problem: I can't import my Outlook 2002 files to Outlook for Mac - it will only accept files with the encoding standard of 2003 Outlook or later. Grrrr.....

    Yup, the import requires that the source be Outlook 2003 or later. And you can not export from Outlook for Mac to Apple Mail, MS does not want you to leave so they don't support the standards in use on a Mac (except in their Windows versions)
