Mail Merging from Numbers

I want to prepare mailing labels using Numbers as a data source.


How can I create labels (J8160) [Avery] by mail merging from numbers?


I wish to print 21 labels per sheet.

iMac (21.5-inch, Late 2012), OS X Mountain Lion (10.8.4)

Tall,


The easiest way is to put your data into Contacts and to print from there. Unfortunately, I don't see that particular style in the Contacts Print menu. You can make your own Pages template and use the instructions in the Pages User Guide to do the Mail Merge from Numbers. I think you should read Chapter 12 before we try to explain further here. Then we can just concentrate on the things that are peculiar to doing labels.

I've come to the conclusion that being able to mail merge from Numbers to J8160 labels is not as easy as I had hoped.


Reading around the subject I think to mail merge and create labels in Pages is well nye impossible. Unless you have a solution?


Instead I'll have to resort to creating a database in Conacts and mail Merge from there.

Step one is "learn to Mail Merge" from Numbers to Pages.


See Chapter 12 in the Pages User Guide. Practice this before moving on. If you have problems, we will coach you.


Step two is "learn to print multiple records per page in Pages.


View > Show Layout

Insert a Text Box, Inline, the size of one label.

Copy it and Paste as many times as you have labels per page. See if the number of text boxes on your page matches your label sheet, across and down. If not, adjust the box sizes. (Select all at once and use the Metrics Inspector to adjust them.) Also, adjust the margins of your document if necessry.

When you have a Pages document that looks like your label sheets, Delete all but the first text box.

Add your label fields to your text box and Link them to your Numbers Table.

Edit > Mail Merge. You will have as many pages in your output file as there are records in your table.

Find and Replace: Find Section Break, Replace with nothing.

Change All

Your document will collapse and you will have a pages full of text boxes that match your label sheet, ready for printing.

I'm having little success at the moment.


These are the actions I've taken and the outcome:-

1. View - Layout OK

2. Insert a text box the size of one label. No problem. However if in Inspector I select "Inline," I am unable to insert 3 boxes per row- only 2. "Floating," is no problem.

3 Adopting the Floating approach I successfully emulated an Avery J8160 label sheet.

4. I deleted all but the first of the text boxes. OK

5. Add label fields and Link to Numbers db via Inspector. No problem.

6. Edit > Mail Merge. First label OK, but second label OK on the second sheet etc up to sheet 21

7. Find & Replace. Edit>Find>Find> Selection Break> Replace with nothing (leave blank). I assume by Change All you mean Replace All. OK. Result First Page Only is displayed, but unfortunately with just one completed label.


So , in summary:- I have successfully created a label sheet for J8160, but only by floating the text boxes.

I have mail merged from my Numbers document, but have failed to produce 21 mail merged

labels on 1 sheet.


If you've got the time and patience I would appreciate help.

One other thing:- To enable to position the text boxes accurately I emphasized each one with a line border

Hi Jerry,


On the assumption that you did not respond to my latest correspondence to encourage me to seek my own salvation, I'm pleased to inform you that I have been successful in mail merging along the lines you had suggested.


My db (Numbers) contains a list of addresses, some include house names whilst others do not. Hence the labels produced may contain blanks ie where a house name does not exist. Is there a way of deleting the blank on a label? I appreciate that this is a cosmetic reason, but flush with success I'd like to extend my expertise.
