iOS Numbers: How To Export Multiple-Page PDF for Large Spreadsheet?

Hi guys,


I have made a very long spreadsheet in iOS Numbers that is 23 pages long. The problem is that when I export this to a PDF it puts all of the content into one page. It becomes a very long PDF that is impossible to print because either the type is so small you can't read it, or if you zoom in you only see a portion of the document (because Viewer insists on keeping it one page).


On the iPad you have the possibility of choosing your formatting when printing. You can set your paper size, orientation, zoom factor. Unfortunately, we don't have any AirPrint enabled printers. The interface for exporting PDFs doesn't have that option.


So how to combine the two? How can I export a PDF on my iPad that uses the options I set in the Print dialog?

printing to a non-airprinter from an iPad


To print from the iPad, your going to have to install some more software:

-- install a printer app on the ipad. many printer makers have iPad applications for their printers. Look in the app store

-- install enabling software on a computer which you have connected the printer

Thanks for the links, Tom. Those print preferences are great, they do everything I need - but I haven't found a way to apply them to PDFs. The created PDFs don't use the formatting, they are still only ONE huge page.


BTW, your second link is related to Pages, not numbers.


Is nobody else having this problem? Am I the only one creating large documents in Numbers?


I have found a workaround by opening the document in OSX Numbers, then printing and choosing PDF output in the print dialogue. But that is not practical in my case, because I wanted to NOT have to carry my MacBook around.

I am having this same problem. I need to be able to mail my spreadsheet as a PDF from my Ipad. I did not have this problem until the new version of numbers. Also, when I make my sheets in landscape mode numbers changes the PDF orientation to squeeze everything onto one page. I do not have this problem when viewing my spreadsheets in the print preview. Please help!

Hi Heidi/all,


I have a workaround that will do this, but agree it is a problem to not have the PDF export in Numbers respect the page layout. A two page spreadsheet/notes document in landscape format that comes out as a single portrait orientation page is not what should happen.


I have Printopia (search for it on the Web, its not available on the App Store) installed on my MacBook Air. This app is primarily to allow the iPad to print to any networked printers that are installed on/confgured for the Mac on which the app is installed. With that installed, I see my networked printers from the iPad's print dialog windows (assuming my MacBook is on and on the same wifi network), plus options to print to Dropbox, Evernote, and Send to Mac.


I was able to "print" the file from within Numbers on the iPad using the "Send to Mac" option. It sent a PDF file to a folder on my MacBook in the same page orientation as the document on screen.

I realize this is a little late, but after much frustration, I just figured this out.


1. In Numbers, go to File --> Print, which opens the "Print Setup" area in the side bar.

2. Use the print setup section to get the document looking how you want it to look as a PDF. (For me, I click the "fit" button under "Content Scale" so that the document fits the width of the page.)

3. Click "Print" at the bottom of the Print Setup section.

4. In the window that opens, DO NOT click Print. Instead, click the button on the far left that says PDF, then select "Save as PDF." This should save your PDF so it appears how you set up in the Print Setup section.

I'd try another app. There is a free server based system that uses the real excel. Free for a small number of docs. See below.



All of the "Office" document editing applications on the iPad have limitations. Best try them out to see if they meet your needs.
