Will my computer be faster if I move photos to external drive?

I have a MacBook, Late 2008 with following setup: Processor 2.4 GHz Intel Core 2 Duo, Memory 4 GB 1067 MHz DDR3, Software Mac OS X Lion 10.7.5 (11G63) Graphics NVIDIA GeForce 9400M 256 MB; Storage: 71.36 GB FREE out of 320 GB SATA disk (166 GB used by Movies & Photos)...Whatever all that means!!


Background: I have all my photos & iPhone videos saved on this laptop via iPhoto. I have enjoyed having all my photos in once place and very easily accessible. However, given that I now have over 13,000 pictures in iPhoto, all saved on this (now somewhat "OLD") laptop, I'm getting worried that iPhoto and computer in general are starting to run slower and I get warnings that I have too many applications open/too little memory (I can't recall exact message?). I don't know how to safely remove maybe my oldest 4 years of photos to an external drive and keep the most recent 2 years on my laptop, or maybe just move all my photos off onto an external drive and going forward? And then maybe start automatically saving all photos directly to this external drive to free up laptop space, as someone recommended to me recently?


Any advice you have for how to best (and safely!) manage my library of 12.000 photos while keeping in my that I'm using an older laptop would be appreciated! In general, I need to 1) back up all these photos safely 2) get my computer running faster again (if possible) and 3) have a better system going forward for downloading/saving/regularly backing up my photos I take. Thanks in advance!

Moving files from one storage device to another has no impact on a computer's speed. Try running fewer applications as already recommended. Maintain adequate free space on your hard drive - 20 GBs or 10% of HDD capacity whichever is greater.


Things You Can Do To Resolve Slow Downs

Boot from your OS X Installer disc. After the installer loads select your language and click on the Continue button. When the menu bar appears select Disk Utility from the Utilities menu. After DU loads select your hard drive entry (mfgr.'s ID and drive size) from the the left side list. In the DU status area you will see an entry for the S.M.A.R.T. status of the hard drive. If it does not say "Verified" then the hard drive is failing or failed. (SMART status is not reported on external Firewire or USB drives.) If the drive is "Verified" then select your OS X volume from the list on the left (sub-entry below the drive entry,) click on the First Aid tab, then click on the Repair Disk button. If DU reports any errors that have been fixed, then re-run Repair Disk until no errors are reported. If no errors are reported click on the Repair Permissions button. Wait until the operation completes, then quit DU and return to the installer.

Restart the computer and after the chime press and hold down the COMMAND and R keys until the Utilites Menu screen appears. Alternatively, restart the computer and after the chime press and hold down the OPTION key until the boot manager screen appears. Select the Recovery HD disk icon and click on the arrow button below.


When the recovery menu appears select Disk Utility. After DU loads select your hard drive entry (mfgr.'s ID and drive size) from the the left side list. In the DU status area you will see an entry for the S.M.A.R.T. status of the hard drive. If it does not say "Verified" then the hard drive is failing or failed. (SMART status is not reported on external Firewire or USB drives.) If the drive is "Verified" then select your OS X volume from the list on the left (sub-entry below the drive entry,) click on the First Aid tab, then click on the Repair Disk button. If DU reports any errors that have been fixed, then re-run Repair Disk until no errors are reported. If no errors are reported, then click on the Repair Permissions button. Wait until the operation completes, then quit DU and return to the main menu. Select Restart from the Apple menu.


Restart your computer normally and see if this has helped any. Next do some maintenance:


For situations Disk Utility cannot handle the best third-party utility is Disk Warrior; DW only fixes problems with the disk directory, but most disk problems are caused by directory corruption; Disk Warrior 4.x is now Intel Mac compatible.


Note: Alsoft ships DW on a bootable DVD that will startup Macs running Snow Leopard or earlier. It cannot start Macs that came with Lion or later pre-installed, however, DW will work on those models.


Suggestions for OS X Maintenance


OS X performs certain maintenance functions that are scheduled to occur on a daily, weekly, or monthly period. The maintenance scripts run in the early AM only if the computer is turned on 24/7 (no sleep.) If this isn't the case, then an excellent solution is to download and install a shareware utility such as Macaroni, JAW PseudoAnacron, or Anacron that will automate the maintenance activity regardless of whether the computer is turned off or asleep. Dependence upon third-party utilities to run the periodic maintenance scripts was significantly reduced since Tiger. These utilities have limited or no functionality with Snow Leopard or later and should not be installed.


OS X automatically defragments files less than 20 MBs in size, so unless you have a disk full of very large files there's little need for defragmenting the hard drive.

About file quarantine in OS X


If you require anti-virus protection I recommend using VirusBarrier Express 1.1.6 or Dr.Web Light both from the App Store. They're both free, and since they're from the App Store, they won't destabilize the system. (Thank you to Thomas Reed for these recommendations.)


Troubleshooting Applications


I recommend downloading a utility such as TinkerTool System, OnyX, Mavericks Cache Cleaner, or Cocktail that you can use for removing old log files and archives, clearing caches, etc. Corrupted cache, log, or temporary files can cause application or OS X crashes as well as kernel panics.


If you have Snow Leopard or Leopard, then for similar repairs install the freeware utility Applejack. If you cannot start up in OS X, you may be able to start in single-user mode from which you can run Applejack to do a whole set of repair and maintenance routines from the command line. Note that AppleJack 1.5 is required for Leopard. AppleJack 1.6 is compatible with Snow Leopard. Applejack does not work with Lion and later.


Basic Backup


For some people Time Machine will be more than adequate. Time Machine is part of OS X. There are two components:


1. A Time Machine preferences panel as part of System Preferences;

2. A Time Machine application located in the Applications folder. It is

used to manage backups and to restore backups. Time Machine

requires a backup drive that is at least twice the capacity of the

drive being backed up.


Alternatively, get an external drive at least equal in size to the internal hard drive and make (and maintain) a bootable clone/backup. You can make a bootable clone using the Restore option of Disk Utility. You can also make and maintain clones with good backup software. My personal recommendations are (order is not significant):


1. Carbon Copy Cloner

2. Get Backup

3. Deja Vu

4. SuperDuper!

5. Synk Pro

6. Tri-Backup

Be sure you have an adequate amount of RAM installed for the number of applications you run concurrently. Be sure you leave a minimum of 10% of the hard drive's capacity as free space.


Add more RAM. If your computer has less than 2 GBs of RAM and you are using OS X Leopard or later, then you can do with more RAM. Snow Leopard and Lion work much better with 4 GBs of RAM than their system minimums. The more concurrent applications you tend to use the more RAM you should have.


Always maintain at least 15 GBs or 10% of your hard drive's capacity as free space, whichever is greater. OS X is frequently accessing your hard drive, so providing adequate free space will keep things from slowing down.


Check for applications that may be hogging the CPU:


Pre-Mavericks


Open Activity Monitor in the Utilities folder. Select All Processes from the Processes dropdown menu. Click twice on the CPU% column header to display in descending order. If you find a process using a large amount of CPU time (>=70,) then select the process and click on the Quit icon in the toolbar. Click on the Force Quit button to kill the process. See if that helps. Be sure to note the name of the runaway process so you can track down the cause of the problem.


Mavericks and later

71 gigs is plenty of free disk space. You could increase the RAM


To move a Library to an external disk:


Make sure the drive is formatted Mac OS Extended (Journaled)


1. Quit iPhoto


2. Copy the iPhoto Library from your Pictures Folder to the External Disk.


3. Hold down the option (or alt) key while launching iPhoto. From the resulting menu select 'Choose Library' and navigate to the new location. From that point on this will be the default location of your library.


4. Test the library and when you're sure all is well, trash the one on your internal HD to free up space.


To archive a portion of a library:


Make sure the drive is formatted Mac OS Extended (Journaled)


1. Quit iPhoto


2. Copy the iPhoto Library from your Pictures Folder to the External Disk.


Now you have two full versions of the Library.


3. On the Internal library, trash the Events you don't want there


Now you have a full copy of the Library on the External and a smaller subset on the Internal


Some Notes:


As a general rule: when deleting photos do them in batches of about 100 at a time. iPhoto can baulk at trashing large numbers at one go.



You can choose which Library to open: Hold down the option (or alt) key key and launch iPhoto. From the resulting menu select 'Choose Library'


You can keep the Library on the external updated with new imports using iPhoto Library Manager

Thank you Terence! So, if I understand correctly, keeping all those photos on my laptop (in iPhoto) is NOT slowing down my computer at all. I can choose to move them to an external drive just simply as a preference. So 2 follow up questions:

1) Is having that large of an iPhoto library (I currently have them all in just 1 library) slowing down my iPhoto? Sometimes I get the rainbow "thinking" circle in iPhoto for a while… I'm nervous to have multiple libraries (whether on different drives or just one) as my biggest fear is accidentally over-riding a library with another one, and losing lots of pictures.

2) So along those lines, if I do move a copy of my whole iPhoto library to my external drive per your instructions, and then I delete (in batches of <100) many of my 12,000 photos off my iPhoto laptop library... what happens when I then back up my current (smaller) library from my laptop to my external drive? Won't the new (smaller) copy of iPhoto library override my large (full) copy on my external drive? Maybe it is as simple as giving each library a different name, but I don't know how to do that. (unless I just copy my full library to external drive & then rename it on drive; and do that every time I drag a copy over going forward). I basically just want a system in place to easily back up my iPhotos onto an external drive, but also be SURE to preserve/archive any/all photos I've moved to the drive and then deleted off my computer, if that makes sense! I think I am confused with how best to "archive" vs "just backup" (and I'm essentially wanting to do both!).

-side note…I've read a little about iPhoto Library Manager, but I guess I am just not sure that I want to deal with multiple "libraries"…I'm still a bit old school. My old PC just had all my photos organized by month/event within that month but it wasn't set up in library format. Just old school PC folders where I could see every file & jpg through Explorer. iPhoto has worked fine for me over the last 6 years but I (obviously!) still don't "get it" when it comes to properly backing up photos and such when you don't see them as direct jpegs/folders like in my old PC when I just burned monthly folders to disks.

Depending on the version you have, iPhoto is good for 250,000 or 1,000,000 images. Large libraries might take a little longer to open, but not to run. 13k is not a large library. I'd try rebuild it:


Option 1

Back Up and try rebuild the library: hold down the command and option (or alt) keys while launching iPhoto. Use the resulting dialogue to rebuild. Choose to Repair Database. If that doesn't help, then try again, this time using Rebuild Database.


If that fails:


Option 2

Download iPhoto Library Manager and use its rebuild function. (In early versions of Library Manager it's the File -> Rebuild command. In later versions it's under the Library menu.)


This will create an entirely new library. It will then copy (or try to) your photos and all the associated metadata and versions to this new Library, and arrange it as close as it can to what you had in the damaged Library. It does this based on information it finds in the iPhoto sharing mechanism - but that means that things not shared won't be there, so no slideshows, books or calendars, for instance - but it should get all your events, albums and keywords, faces and places back.


Because this process creates an entirely new library and leaves your old one untouched, it is non-destructive, and if you're not happy with the results you can simply return to your old one.


Re: overwriting the Library: it's simple, but either the Library or the back up into a folder.


Most Simple Back Up:

Drag the iPhoto Library from your Pictures Folder to another Disk. This will make a copy on that disk.


Slightly more complex: Use an app that will do incremental back ups. This is a very good way to work. The first time you run the back up the app will make a complete copy of the Library. Thereafter it will update the back up with the changes you have made. That makes subsequent back ups much faster. Many of these apps also have scheduling capabilities: So set it up and it will do the back up automatically.
