How to edit category selection menu on the transactions sheet of Personal Budget template?

The author's categories are useless to me, but I can find no way to edit them.

Popup menu is a data format. You find it on the right side bar Format>Cell>Data Format> Popup Menu. Change, delete, go wild. If you edit the first one you can copy it, select the rest of the column and paste. If you find you want an additional in a month or so you can enter it as text (after deleting the popup), then select it and the popup above and choose the popup format instead of multiple and you will have added it to that popup. You will need to fill it to the rest of the column.

If you have added categories to a 'middle' row of the table, they should automatically populate the chart (and will probably cause some colours to be reassigned). If you've added the new catagores to the end of the list, this might not happen automatically.


If the new categories are not added to the chart, take the following steps:


Click on the chart to select it.

Your category table should then look something like this example from the similar template in Numbers '09:

The blue selection rectangle contains the data cells feeding the chart. Grab the handle (small circle at the lower right corner) and drag down to add the two cells that have been added:

Note that the two new labels have been added to the list in the chart's legend. There's no change in the chart itself, though, as the sum for both of these amounts (on my table) is zero. Adding some expenditures in these categories shows that they are included. Note, though that (in eht images above the first an last categories have been assigned the same (or nearly the same) colour. Fortunately, as seen below, the individual colours are editable.

To edit the colours, click on the chart to select it, then click either on the wedge you want to edit or on the colour square next to its name on the table. Then choose a new Fill colour for this wedge.

If you just want to repurpose categories that are already there, there are 2 places to make changes.

1. Budget tab- Summary by Category- just click the name and change it.

2. Transactions tab- Category popup - edit the popup in the first row of the category column so it shows your favored categories. Copy and paste in to the other rows.


If you want to add additional categories,

1. Budget tab- select the table, drag the "=" at the lower left to add rows. Add your categories.

1a. Budget tab- click the pie chart, click "Edit Data References", drag the section to include your added categories.

2. Transactions tab- Category popup - edit the popup in the first row of the category column so it shows your favored categories. Copy and paste in to the other rows.

Almost there! I found the pop-up, as you said, in the format window, and edited it. But I can't copy the edited menu to paste it in the other rows. Every time I try to select it it disappears. If necessary I can apply the same corrections to the other rows manually. You have gotten me over the hard part. I never would have found it without your help. Thank you!

Hi Quinn,


I tried to do this in my Numbers 3.6.1 and I was able to add a category to the Budget tab catagories but it didn't populate the pie chart and I couldn't seem to drag anything into the pie chart. Are you limited to the 9 catagories and can just change the name of them? I would like to personalize the budget more but it messes up the program.

Hi Barry,


Thank you for your help. That worked to add items to my pie chart and I think I understand from t quinn how to add catagories to my transaction page and hopefully they will carry over. I still have problems with transaction items not carrying over to the budget page even though I didn't modify them at all. They just don't work and manually transferring is tedious.

Is there a way to change existing catagories on the Budget side? I tried clicking on an item but that didn't work.
