Q: Office Outlook 365 for MAC & ExFAT Ext drive issues

Be grateful for any advice regarding, problems Im having with Office 365 for Mac. As an ex
Windows7 PC user (last 2weeks) Im now operating 2 x iMacs for small business on a network
with 2 external hard drives and a printer, with iCLoud useage of data to and from collegues on site.
We had one spare hard drive formatted to ExFat, loaded with current data and appears to be working
okay, I can access it from devices, store and extract info, no problems unless the MAC goes to sleep
(I leave it on all day and night usulaly) the OOTG ExFat drive often goes missing on desktop, nothing
I do finds it? So I then have to reboot, remove USB's and reload, still nothing, force quit, again and rebooting,
it will then find it, unhurt and active, however, this is frustrating and not feasible when working a busy office
and you've gone out for 2 hours.....and it's had a sleep!
Secondly
Where do I change my mail box default system to use only Outlook in every program instead of Mail for Mac
particularly when sending invites and calendar updates to collegues, who use PC's operating Outlook 365 for Windows7
Thank you have, spoken to Apple support online in CA and Lisbon who have been helpful in the migration assistant
area and we are getting there, however be grateful for Apple wisdom
