printer preset -- how to set booklet layout?

HP6940, inkjet printer with two-sided option installed. Printer preset view shows booklet layout is turned off, when print, layout shows booklet grayed out. I would like to turn booklet layout on. How do I modify or create printer presets? I can read the presets, but not set them. A scan through community posts found no help.

Getting to the printer dialog (Command-P), I can click "presets" then "show presets", but "delete", "duplicate" are grayed out, and no changes are allowed (booklet is one of the grayed out options). I checked Apple instructions, who refer to "custom presets", which is not to be found anywhere. This has to be a simple problem....

The grayed out presets are grayed out because you are not supposed to be able to modify them - Current, Default Settings, Last Used Settings, and any presets that are in the PPD can't be deleted.


In order to create a preset, use the "Save Current Settings as Preset…" menu. You'll be able to delete and duplicate any presets that you have created, but the presets are not able to be otherwise modified when showing the presets.

I'm trying to write a new preset that will allow my printer to write a booklet. Yes, I have the HP Deskjet 6940. HP documentation shows this printer will support booklets, and they refer to Windows instructions for setting that up. The presets are not grayed out, but I should be able to edit them and save them as a new preset (see link above). Yes, I can save current settings as preset, but my view presets shows the booklet function as "off", and I cannot find a way to turn it "on". When I set double sided printing (next to Copies), and go to "layout", then I get a menu "long-edge binding", "short-edge binding" and "booklet". The first two are active, "booklet" is grayed out. It's the "booklet" that I'm trying to make active and not grayed-out.

The Apple instructions say:


"If you have an AirPrint printer that supports two-sided printing, you might be able to print your document as a booklet or brochure."


The Deskjet 6940 is not an AirPrint printer. Does HP have Mac instructions for using Booklet? It's probably a bug that "Booklet" is shown when the printer is not an AirPrint printer.


You're not able to edit presets that come with the printer. You can create new presets based on those settings.

It seems that booklet printing option is only enabled if the printer driver reports that it supports that mode.


I found the simplest workaround was to use Adobe Reader, which has built-in booklet-mode handling. If you've already got a PDF, open it in Reader, choose print and then select "Booklet" in Adobe's print dialog. If you're printing from some other software, print to PDF first, then load that.
