Can't access documents from previous Mac backup

Hi we recently purchased a new desktop Mac. We had an external drive as a time machine backup for our previous Mac desktop.

I am using OS X 10.9.5

So when we were setting up the new desktop it updated from the external drive backup.

However, I just went to search for an older document that is on the external hard drive backup but it shows a little red minus sign and says I don't have permission to view the files.

How can I open up an old document??

Click the document and type Command + I (I as Ivan).

You will see the permissions at the bottom of the box and a symbol in the shape of a lock. Click the lock and put in the password and the change the permissions to read/write. It may look similar to:
