What conference service are you using?

If you use (Cisco) Webex Meeting Center, anyone (with paid subscription) can schedule calls and when they receive and accept an invite, the call will get placed on their calendar. They can also schedule meetings via an Outlook plugin if they want.

If they use the Webex iPhone/iPad app, when it is time for the meeting, the system will offer to call their phone (or offer to connect to their phone over the internet in HD audio).

If they prefer, they can call in and Webex will dial the number, access code (meeting id) and attendee id ( with the correct pauses automatically inserted). If he is the host, it will mark him as host in the meeting; if the meeting is set to only start when the host joins, when he joins the meeting will start.

Supports video and screen sharing too! Works with Macs and PCs too.

Hope this helps.
