I use NTFS to copy/paste files. Is that the format?

Macs can not write to NTFS drives, so they can't delete anything on an NTFS drive.

NTFS is the wrong format for a Mac.

If you want to write to an NTFS-formatted drive you need an app like:

The operation can’t be completed because the item “Microsoft Office” is in use.

Okay, that's fairly standard. That means that you have thrown something in the trash that is still in active use by some process on the computer. You'd need to figure out what that is and close it, or if you can't figure it out, restart the computer to ensure whatever's in the trash is closed. Also, you should make sure that what's in the trash really should be... did you perhaps throw away your Microsoft Office apps without meaning to?

I ran desk utility and this message came up:

Disk Utility can’t repair this disk. Back up as many of your files as possible, reformat the disk, and restore your backed-up files.

That is a more serious problem. That means that the disk you were trying to repair is damaged beyond repair. If this is a modern journaled hard drive, that probably means that the drive is failing and will need to be replaced. Be sure all data on that drive is properly backed up before doing anything further!

I use NTFS to copy/paste files.

I'm not sure I understand that. NTFS is a disk format, used by Windows computers, and has nothing to do with copy and paste. Are you saying that this external drive is NTFS? If so, you wouldn't be able to make changes to that disk on your Mac at all without the help of third-party software. But if that were the case, you should get very different error messages, and wouldn't be able to put anything on that disk in the trash in the first place.
