    You can archive them, which also keeps them on the server. Or you can create mailboxes in the On My Mac section, which will keep them locally, but also make them part of any Mail search.

     

    Thereafter, you should just have a backup of the entire start-up disk using Time Machine or other backup or cloning software.

    These are project-related emails that are captured in a Smart Mailbox.  Can I drag and drop that mailbox into "On My Mac" list?

    The Smart Mailbox is really more of a search feature that a regular mailbox. The messages within it still actually remain in their original mailboxes and the smart mailbox merely points to the messages meeting the criteria you set.

    You can create a new mailbox under On My Mac and drag those messages to it to move them, or select all the messages in the smart mailbox and right click & choose Move Messages and select the appropriate mailbox. The smart mailbox may still show the messages if the conditions are still the same. If you don't want that, you will need to edit the smart mailbox and exclude the mailbox you are moving them to.

    I'm trying to get under a Google Mail limit (Google Apps) which apparently also counts email in the Archive folder.  What I've thought of is to archive all the messages I want to keep a record copy of and move them from the Archive folder to a folder under On My Mac.  Then, I believe I could safely delete the messages from the Archive folder and reduce my usage.  Would that work without losing any of the emails?
