How to share a folder of Notes and make them editable between users???

Hello,


I need some help...


My friend and I are apartment hunting and I have created a folder in Notes that lists each apartment we have looked at and its relevant information. I want to be able to share this folder with my friend and let both of us have the ability to edit it. However, I am unable to figure it out at all. It looks like I can share each individual note, but I am unsure if it will become editable between both of us or just send them a copy.


Does anyone have any ideas for this? Does it work in Notes or do I need to look at other apps? If I need to look at other apps which app would be the best to accomplish this? I feel like hat I want to accomplish is so simple.

Both are true, because before iOS 9, you used to be able to set up two iCloud accounts on one device so you could share entire notes with somebody else this way. But iOS 9 introduced a huge change to Notes and you no longer can access Notes on the secondary iCloud account.


However, on a legacy iCloud account created before iOS 9, you can still do that until you upgrade Notes (Upgrade your Notes app - Apple Support).


I have a secondary iCloud account created long ago with my work related Notes, and it still works on all of my iOS 11 devices, because I still haven’t done the Notes upgrade for this account. I can keep it this way without a problem as I don’t use the account as the primary.


Note that new Notes features such as checklists and tables are not available until you upgrade Notes, and once you upgrade, you will lose access unless you set it up as your primary account on your iOS devices. So if you intend to share Notes from somebody’s primary iCloud account, this probably isn’t a good idea.


One suggestion is to create a non-iCloud account such as Gmail or a regular IMAP for Notes sharing. Then you can share the account with your friends and family for them to freely read/edit entire Notes on the account, with the caveat that the rich Notes features are not available.

Winston, I don't think that you're understanding the problem. If you set up TWO iCloud accounts on your iOS device, only the first one created supports Notes -- the second iCloud account that you set up on the same device will not have Notes functionality at all as clearly shown in the screen shots from Inflo and myself above.


What you've shown above does not appear to be two iCloud accounts, only one iCloud and "Beneficiaries" and "Personal", which do not appear to be iCloud accounts.

They most certainly are iCloud accounts.


Gee, you certainly like to keep disputing stuff don't you, it's been a year now and you are still at it.


For the last time, you CAN keep notes from multiple iCloud accounts.

but if you'd looked at my earlier posts with any level of scrutiny, you'd also have been able to confirm that my work account is an iCloud account.


I appreciate that there may be circumstances where you can't have notes from 2 iCloud accounts but you simply said you can't.

To be honest, that's the part that grates a little, that a level 10 contributor has to demonstrate that they do know the difference between an iCloud account and another type of account before they are believed. I appreciate we all get things wrong from time to time and I'm no exception, but that's quite a basic step.


In any case, the point is, yes it may not be universally so, but I'm not an exception and people who used notes on multiple iCloud accounts before are exactly those (unless they have done anything to change things) that still can.

To be fair, your example from last year was your "Work" account, which we can see is iCloud and linked to an old "me.com" address (which I think is a clue). Indeed you do have multiple iCloud accounts, each supporting Notes. I suspect that the reason you're able to do this is because these accounts pre-date some changes that have been made in the background (i.e. you can no longer use an Apple email address as the basis for an iCloud account). Perhaps older iCloud accounts like yours support this, but for whatever reason more recent iCloud accounts do not.


So, my fault for making a blanket statement that you can't have Notes on a secondary iCloud acount, my mistake. But the fact that you're able to is an exception since that is not universally true either -- many users who used to use Notes on multiple iCloud accounts on the same device are no longer able to do so, and that fact remains today and is the subject of this thread.

Just an update to this topic ... since I just learned the hard way.


In iOS 10, you can no longer access Notes on a secondary Apple ID, only the primary ID. So this solution no longer works as it did in iOS 9.


The good news is that iOS 10 Notes supports collaboration, so there is no need for a secondary iCloud account for sharing of notes between users. Now the note "owner" can invite other iCloud accounts to see and edit a note, terrific!
