Checkboxes in Pages Spreadshets

Hello, I really hope somebody can help me!


I'm trying to create a Pages document with a special spreadsheet in it. I created the spreadsheet in Numbers and it works fine. I copy and pasted the spreadsheet to pages and almost everything is fine, there lies my problem.


In the spreadsheet I use sumif() to sum up values depending on the status of a column with checkboxes. =sumif(CheckboxesColumn, true, ValuesColumn)


Pages seems not to allow for checkboxes as a cell format in its spreadsheets. The copied checkboxes are transleted to pasted TRUE and FALSE. In order to sum up the ValuesColumn one needs to type in every single cell in question "TRUE".


Does, please has anyone an idea how I could fix that? I would even go the other way round and have my Pages pages in Numbers but I could not find how that would work.

Here is another spin on a portable solution when exported to Excel, at least on a Mac.


You will need to enable the characters palette from Numbers Edit menu : Emoji & Symbols menu item. When that panel is up, you enter the word, check in the search window, and choose either ballot box with check. Pick a cell in Numbers that is formatted text, and double-click on the ballot box symbol. It will insert into the selected Numbers cell. Again, in the search window, enter the word box, and scroll to the bottom of all those characters until you see the empty ballot box. Select another cell in Numbers, and double-click to insert it there. Done with the characters palette.


There are two formulas in the spreadsheet.

  1. Inspect column 1 cells for a "YyNn" character and insert the appropriate box image in the adjacent column 2. This is achieved with a vlookup conditional. Column 2 cells have their text sized to 20 points for better box visibility.
  2. If any entry in column 1 is "Yy" then add its amount to the total, and if "Nn", then subtract from the total.

Go back to the Numbers version of your table and reformat the checkbox cells as text.

(example shown before changing format of column A)

If you want to keep the current checkbox settings, replace all now reading "TRUE" with either "t" or "y".


Revise the formulas depending on the checkbox values to a version similar to that below:

Copy the table, ten paste it back into the Pages document.

Could you please elaborate a bit more as to what version of Pages you are using...


A glyph = a character. Letters and letter-like black and white graphics.


OpenType has an enormous number of glyphs, covering all the characters in all known languages, even fictious languages like Klingon, plus punctuation, numbers, pictograms, dingbats etc.
