cell overlapping other cell when typing

I am using an invoice template that someone has made, I have almost configured it but when testing it i have encountered a cell overlap problem.


This template has a product selecter and one of my products is a lot of text to save me typing it out when i write an invoice but when i add it to the invoice page it pushes the other cells downward past the invoice cost calculator.


Could someone tell me how to stop this happening, I need the cost calculator cells to move at the same time so it does not overlap, also I have a text box underneath with my terms which also remains static and that gets overlapped too, I need these three to stay away from each other, thanks in advance for any help given.

Hi Steve,


Is your "cost calculator' a separate table?


If so, that table will be pushed downward when the data table expands to fill the space between the two. If not, that portion of the single table will be pushed down as rows above it expand.


The cost calculators cells appear to be overlapping a text box, not a cell on another table.


You can keep the 'item name' cell(s) from expanding by unchecking the "wrap text in cell" box in the Text section of the Table format Inspector. But that would mean you would see only the first line of text in the item name cell.


Otherwise, your only solutions are to delete rows from the bottom of the data table to keep space available for the cost calculator, or to change the page size from US Letter to US Legal, or to narrow the top and bottom margins in the Document Inspector.

Hi Steve,


I can't tell from your screen shot how the invoice template was constructed.

Just trying to recreate the problem, does a blank document created when you open the invoice template look something like this?

Invoice table, Cost Calculator table, and the text "PAYMENT REQUIRED IMMEDIATELY etc." in a text box.

When I add lots of text to a cell in the Invoice table (with Text Wrap) the cell expands to accommodate the text. The Cost Calculator table and the text box politely move down.

Is that text box locked (and therefore won't move)?

Click on the text box. Small x marks will show if it is locked.

Menu > Arrange > Unlock.

Hi Steve,


in the original file, there are five tables on the Invoice sheet, plus three text boxes.

Clicking on one of the objects, then pressing command-A produces the result seen in the image below.

A screen shot of the same area as displayed on your computer may help in determining what is causing the difference in your case.

Steps:

Set Zoom to 100% (or to largest value that will show the whole page on your screen).

Click any object, then press command A to Select All.

Place the mouse pointer at the top left corner of the screen area to be captured.

(include the column and row reference tabs as shown above)

Press shift-command-4 (the pointer will change to a crosshair)

Click and hold and drag the crosshair to the lower right corner of the area to be captured.

Release the mouse button to capture the image as a file.


Look for differences between your image and the one above.

Hi Ian,


I'm also stymied.


I agree with your suggestion of starting again from the template (and if that fails, with a freshly downloaded copy). When I downloaded the template and opened a new document from it, the behaviour was as expected—as the main table took up more space, it pushed the tables and text box beneath it downward.


The only obvious differences I can see between the document fresh from the template and the most recent screen shot from Steve are the repositioning of the text box containing the logo and of the single row table near the bottom showing the payment due date and time. (I did change this one to a single cell table, as the only content is in cell A1.)


Sharing a copy of the misbehaving file via Dropbox or other depository site could be useful as well.

But it isn't. I asked for a screenshot taken while ALL objects were selected.


The only object selected in that screen shot is the box containing your City Handyman logo.


With that selected, press command-A to add all the other objects to the selection. Then take the screen shot showing ALL the row and column reference tabs for the various tables and the selection handles for ALL the rest of the objects.


See my post above for an example with all five tables and all three text boxes selected.


(After taking the screen shot, click on the space below Handyman to release all objects from the selection.)

Thanks for the screen shot. I can't see anything obvious that is causing the tables to overlap instead of moving down.

As I see it, you could try:

  1. Start again with a new document opened from that template (you may need to download again to start afresh);
  2. Place the misbehaving document on Dropbox or some other public website so that we can do some testing.

Could the cost calculator be tied to the invoice area? This invoice template would be great from me if i can get all the tables/cells all to move at the same time as i add products or large amounts of text in a single row. You can download the file to your computer if you wish to see it first hand. When you open the file it asks at some pint to update it, the invoice system was made in 2010. I have it all set up how i want it but i need all the cells/tables to move at the same time if i add lots of products and texts. I am a complete newby trying to make this work and haven't done too bad so far with it, although i spent all Sunday trying to configure it i should imagine and expert would have it solved in 10 minutes. thanks for everybody help so far.

Hi Barry, Im happy with the way i have aligned all the boxes but they are static and won't move at all. I currently have 10 rows in the main invoice part of the table, if i add 5 lines of text in one row because i need to add more info the other rows will overlap the calculator table on the bottom right. See Photo, the first one is before i add text, when i add a few rows of text the calculator table doesn't move which causes overlap

The request above regarding a full page screenshot with ALL objects selected is for the purpose state: an attempt to obtain some clues regarding the cause of this behaviour, which could lead to a correction of the behaviour.


Without the details specified in the request, those clues are not available in the screen shot.

Hi Barry and Ian, I have just opened up the Invoice app on my iPad which is where I want to use it. It seems to work ok on the iPad, no overlaps. I would still like to use it on the mac air which i have so would like to solve that problem still see photo. There is another problem in which when i send to customer all the sheets which includes customer database, data generator, receipt, packing slip, License and products all attach themselves to the email, the customer only needs the pdf invoice. It seems far easier to send a pdf on the iPad where on the mac it saves to a folder then you have to find it then send it. The print preview also work ok on the iPad

Numbers for Mac (which I assumed from your original question) works that way. Menu > Share > Send a Copy > Mail (or the button Send a Copy > Mail) allows you to export the whole document as an email attachment.


To export only the invoice, go to the invoice sheet and Menu > File > Print (command p) to see Print Setup. Make sure that you choose Print > This Sheet, not All Sheets.

Click on the Print... button (bottom right) and choose PDF > Open PDF in Preview to check that your customer will see only the invoice:

In Preview, Save that PDF to a convenient Invoices folder. Attach it to an email to your customer.

Hi Yellowbox, we need it to be able to send the invoice from the iPad, i am a plumber and have been invoicing from the iPad since 2011 as it fits in a small bag.


On the iPad there doesn't seem to be a way just to send the invoice on its own, all the data sheets get sent to the customer as well, are there any settings on the mac we can change? The mac seems to be the control centre for the software. See photos below, thanks for your help so far. I am running the software via iCloud on the iPad.

Hi Yellowbox, I had a read of the instructions again last night and it seems the invoice system has been designed for printing and posting, also the instructions say fill out the invoice, when customer pays you then mark it as paid then it generates a receipt. Once the receipt is generated you still can't send it on its own all the other sheets are attached.


I don't know why the guy attached a receipt generator as just the invoice on its own will do. Even if you could email the invoice on its own then the customer pays i would just open the invoice and mark it as paid.


I did a quick search online again this morning before i go to work and it seems i am not alone, i found a post from 2013 about this very same problem. The workaround was to generate a copy of the invoice and sheets then delete the ones you don't need but that is not a good or timely way to do things. I tried it and its very confusing as there are more files and it takes a lot of time to delete one by one on the iPad. I would have thought Apple as good as they are would have a simple way of doing things after all thats what they are all about.
