"Private documents"

1) I have a "Private documents" file that opens even when I don't use a password. How should I encode it?

2) how do I delete files from "Private Documents" that were placed there by a group of which I am a part?

Thank you

If you applied a password to a document, and chose to allow Keychain to remember that password, then the document will automatically open in your user account, because Keychain is being queried, and supplies that password for you. Outside of your user account, that document will prompt for a password.

Is this a managed Mac, where someone else created a Private Documents folder? This folder does not exist in macOS by default. There may be access control permissions on the folder that prevent anyone from deleting a file. If you cannot drag the file to the Trash folder, or if it provides a password challenge for which you do not have that password, then file deletion is excluded for you.
