Apple mail: how to categorize a one-off email

I have set up a smart mailbox, which receives regular emails from regular sources.

However if I get occasional emails from other sources, then I have to add these sources to the filter, and the filter becomes longer.

There doesn't seem to be a way to deliberately move an email to a smart mailbox unless it meets the filter criteria.

Is there any way around this?

The only options (inbox, sent, junk, bin) are not appropriate.

Maybe I should use an Archive sub-mailbox?

Smart Mailboxes are just searches. They aren't actual mailboxes that hold anything. That's why you can't move anything into them.

You can use Rules to move messages to a folder. The rule would be similar to the smart mailbox criteria.

Rules automatically run on messages when they arrive in the inbox.

You could move your one-off emails to that same folder.

Further to the above, it appears that I can manually drag emails to a sub-box under "On My Mac" which presumably is NOT copied onto iCloud. This is unfortunate in the event of a crash or accidental upgrade to big sur which I have just recovered from.


Is there any way I can have my cake and eat it too, ie, filter emails to a mailbox, and add others manually?
