alphabetizing using NUMBERS app

could someone explain to me how to alphabetize my tables? this is my first time using numbers and dont understand to get to where i want. i have different color circles to show each section that has to stay together. i want to sort by phone model. a walk thru instruction would be really helpful. tia!

You will not be able to sort (alphabetize) that table as it is. There is no way to group rows together so they move as a block, they will sort to wherever they go based on the content of the column you selected. So, if you want some rows to move as a block, you need to have data in a column that makes them sort together.


If column B of the rows you want to stay together have the same data, they will sort together.

  1. In cell B3 put the formula =B2
  2. Drag down to B7 to create formulas for the remaining rows of that block. It is going to look pretty ugly about now.
  3. Create a custom cell format for those cells. You want nothing to display in those cells so it will be a text format with nothing in it. Give it a name like "Blank Text" or something that makes sense to you. After you do that it should look better. Or maybe you'll also have to readjust the row heights back down to what they were, if it is not set to "fit" automatically.
  4. Select cells B3-B7 and Copy/Paste them to the other blocks, assuming the other blocks have the same number of rows. If they do not have the same number of rows (like Essential PH-1), copy/paste B3 then drag down to get the rest.


You should be able to sort the way you want to now.

Sorry about that. It looks like the issue is that you have merged calls and cells that contain both letters and numbers. If you move the count to after the model name it should work with how you are using Numbers now.


"In columns containing both text and numbers, ascending order sorts numbers before text (for example, 1a, 1b, 2a, a1, b1). Ascending order also places Boolean (true/false) cells after cells sorted alphabetically or numerically, and places blank cells at the bottom of the column."


I strongly recommend using categories as I said before to avoid that. I believe in the long run this will be much more useful for you. Especially if you are trying to find items or services that bring in the most profit or present the largest cost or even if its just general inventory.

Note: The Column A count is not fully accurate when using categories like this.


I made column A and column "Type" both categories which allows custom sorting and more flexibility.

Looking at your table you may want to consider formatting it differently especially if each model is going to contain multiple dates of informations.


You could set the model rows as a Summary Rows This talks about the different categories. Intro to categories in Numbers on Mac - Apple Support


If you do this it will be much easier to alphabetize the different categories of rows.
