How to move photo library and referenced files to external disk, and update the reference file paths

If I have a local photo library and use referenced files, when I move the library and the referenced files to an external disk (in order to free space on the laptop), how do I get the reference file paths in the library to update to the new path?


If I have already moved the library and the files, I now have the problem where the library still looks for the files using the original paths on the local machine and says the files are missing. In this case, how can I update the paths on each photos in the library to use the new paths?


For example, in the beginning everything is on the laptop:


/Users/shared/Pictures/Photos Library.photoslibrary

/Users/shared/Pictures/Photos/DSC01234.JPG ..... thousands of files


Copy everything to an external disk so we now have:


/Volume/Files/Pictures/Photos Library.photoslibrary

/Volume/Files/Pictures/Photos/DSC01234.JPG ..... thousands of files


But when I open the Photos app using the library on the disk, it still looks for the reference files in /Users/Shared/Pictures/Photos... and because they are no longer there it says they are missing.


If I try to manually correct the problem in Photos I can navigate to the new location and the files are listed, but they are ghosted and I can select them to relink them. And in any case I don't want to do that for 12000 photos one by one.

Hi


I think your best bet at this stage would be to delete the unlinked images from your library, turn on "copy items to library", and then re-import the images from the folders they are now in. Obviously you will lose any edits, and any metadata you have manually added.


Then consolidate all other referenced images. You can use a smart album to identify these (photo>is>referenced). Then select all in that album, and file>consolidate.


Once you have done that, you'll be able to move the entire library.

Thank you for the reply. Ideally we would be using the scenario you describe but we are dealing with a photo repository built over the last 20 years. Hopefully some of the experienced users have been dealing with photos on Macs for that time frame and are familiar with the scenarios that existed before the Photos app.


The photos are only referenced files because of that long history, not a specific intention or need. During the 2000s the photos were loaded from digital cameras onto a Windows PC. In the late 2000s/early 2010s they were moved from PC to MC. I don't recall what the Mac program or method was used at that time but I think it was similar to the referenced files method. Sometime later they were accessed using iPhoto as referenced files. It was then retired and replaced with the Photos app and so that's how the photos came in, as referenced files for photos loaded before about 2011-2015. Anything loaded since then is not a referenced file but only stored locally in the photo library.


So the library has a mixture of referenced files and local photos, and we are now trying to get it all into Photos natively. As I thought, and as you suggest the manual option should work but doesn't. The external drive format is Mac OS Extended (Journaled), with 2 partitions, one volume for photos and the other for TimeMachine backup. It is directly connected with USB.

Unfortunately I can't do that because of the original problem, the reference files aren't found by the Photos app. As I mentioned earlier, even though I can use Photos to navigate to where the original files are and they are listed, they are ghosted and Photos can't select them. Therefore I can't relink them and they have to be linked in order to consolidate. Consolidate only works if the link to the reference file is working.

Welcome to the number one reason why experienced users warn against using Photos in referenced mode. It simply does not have the tools to manage this arrangement. My standard advice is never run Photos in referenced mode, and if, for whatever reason, you feel you must have a referenced library then use an app with the tools to actually manage the files. This would include tools to import the files to your preferred location, move and rename the files, delete unwanted files and so on, all of which are absent from Photos.


Essentially, there is no graceful solution for the problem you face. However what should work is the manual option. What format is the external disk you've moved the files to? Is it, perhaps, a NAS?
