What happens when using an external hard drive as the primary library?

I have a MacBook Pro 16" using iOSMonterey (not updated yet as I don't have enough space on my Mac, hence this current action).

I just copied my 800G+ photo library to an APFS formatted 5T hard drive to save space. I have made it my Systems Photo Library. I have iCloud set up to "Download Originals to this Mac".. I am planning to keep it connected at all times as I use it more as a "desk" top than a "lap" top. I have some questions:

  1. Has anyone regretted doing it and wished they had just chosen thumbnails and kept the library on their Mac?
  2. Did you delete the library from your Mac? Did you copy it to a 2nd hard drive as a backup?
  3. Does iCloud work the same? i.e. will my photos automatically in real time download and upload to iCloud?
  4. All my people thumbnails are currently greyed out. Will they eventually all come back?
  5. Any suggestions using Photos this way?

Thank you all for your help!

There is no difference in use with the external drive.

  • Has anyone regretted doing it and wished they had just chosen thumbnails and kept the library on their Mac?

No. If you don't have space, you don't have space.

  • Did you delete the library from your Mac? Did you copy it to a 2nd hard drive as a backup?

Yes. Why take up space. Beside, you are likely backing up to another hard drive using Time Machine or equivalent, right?

  • Does iCloud work the same? i.e. will my photos automatically in real time download and upload to iCloud?

Yes. As long as it is your system library and iCloud is on.

  • All my people thumbnails are currently greyed out. Will they eventually all come back?

Have not experienced this. Are you certain your transferred the entire library file?

  • Any suggestions using Photos this way?

Nothing should be different.

That's why you have the Time Machine backup; perhaps others as well.

A good rule of thumb is to keep 3 copies of your most important data, made 2 different ways, with 1 copy kept offsite. In my family I have my photo library on my Mac, synced to iCloud, and backed up onto my Time Machine Drive. We also burn to m-disc DVDs each year and provide copies to family. Our family photo history goes back to the 19th century so we also maintain a healthy number of original prints too. Backing up and planning for catastrophe is worth the time/investment.

Thank you so much for your reply!

I closed the app and then reopened. It is now "Updating" and has been for a while. I'm sure it will take a good while longer. And I'm pretty sure that is what was up with the greyed People thumbnails.

Anyone else that would like to share their experiences will be welcomed. For instance:

  1. Are there frustrations with having the hard drive connected all the time and are there any tips for having it this way?
  2. What would happen if the hard drive crashes?

Thank you!

Thank you again!! This is so helpful!

Just a couple more questions. When you say you "burn to m-disk DVDs" what does that mean?

  1. Are you "exporting" from the Photos app? And if so, did you do "Unmodified Original with IPTC as XMP" or exporting with all info included?
  2. If not exporting then how was it done?
  3. And is there a particular "m-disk DVD" that is better for Apple than others?

(Can you tell I'm stressed out about doing all this? I know I have iCloud and Time Machine, but it would be a comfort to have a 3rd one.)
