Moving email from another provider to icloud mail.

Hello,

I have searched for information but that has made me more confused and nervous. I would appreciate some help please.

My current email provider will no longer provide this service with a short time frame for me to address it.

I have thousands of old emails on the current email provider's server which I don't care about but I do want to save emails that I have on my macbook air and the associated mail folders.

I have multiple mail folders which I am in the process of tidying up but time is running out.

Although I have an icloud email address, I have never used it and will need to subscribe to an icloud+ account for the amount of data I will need to store (including other applications).

Can I simply drag and drop each email folder to the icloud folder on the mail application on my mac and once my current email supplier shuts down their servers, my emails and folders and data will be intact? Or do I need to create a new set of mail folders in icloud and then copy or move the contents of each folder into the folders?

I have read that I may need to go to icloud.com and perform the above on that site and not on my Mac but the personal domain part confuses me.

I hope my questions make sense and that I have used the correct language.

I am a Macbook Air M2 and Ventura 13.1

thank you in advance.

Hello,

I understand your concerns about transferring your emails from your current email provider to iCloud Mail. I'm here to help guide you through the process.

Here's a step-by-step solution to ensure a smooth transition:

1) Backup Your Existing Emails: Before you start, it's always a good idea to back up your existing emails and data. You mentioned that you don't care about the thousands of old emails on your current provider's server, but you do want to save the emails on your MacBook Air. Ensure that these emails are backed up on your local machine.

2) Set Up iCloud+ Account: Since you plan to use iCloud Mail to store your emails, you'll need an iCloud+ subscription. This should provide you with sufficient storage space. Make sure to set up your iCloud+ account and ensure that you have enough space for your data, including emails and other applications.

3) Configuring iCloud Email on Mac:

    • Open the "Mail" application on your Mac.
    • If you haven't added your iCloud email account to the Mail app, do so by going to "Mail" > "Add Account" and follow the prompts to add your iCloud email.
    • Once your iCloud email is set up in the Mail app, you'll see your iCloud email folders in the left sidebar.

4) Moving Emails and Folders:

    • To transfer emails from your current provider to iCloud Mail, you can't simply drag and drop folders between different email accounts within the Mail app. You'll need to use a slightly different method.
    • Create corresponding folders in your iCloud email account for the folders you want to transfer.
    • Now, you can manually move or copy emails from your current email account's folders to the corresponding folders in your iCloud email. You can do this by selecting emails and using the "Move to" or "Copy to" option and selecting the appropriate iCloud folder.

5) Considerations for Personal Domains:

    • If your current email address is associated with a personal domain (e.g., yourname [@] domain.com), you'll need to make sure that your domain's MX (Mail Exchange) records are properly set up to direct incoming emails to your iCloud Mail.
    • You might need to update these MX records in your domain's DNS settings. This is something you might need assistance with, depending on your technical comfort level.

6) Testing and Finalizing:

    • After you've moved your important emails to your iCloud email account, it's a good idea to test sending and receiving emails to ensure everything is working as expected.
    • Once you're confident that your emails and folders are intact in iCloud Mail and that your domain's email settings are correct, you can proceed with canceling or discontinuing your service with your current email provider.

7) Professional Solution:

  • Utilize a professional automated tool designed for seamless email migration between accounts. Consider employing a top-tier Email Backup Software optimized for Mac, for this purpose.

I've gone through this process before when I had a similar requirement, and eventually, I discovered an email backup tool specifically designed for Mac.

Remember, it's always a good practice to back up your important data before making any significant changes to your email setup.

If you're unsure about any technical steps, consider reaching out to Apple Support or seeking assistance from someone experienced in email migration.

I hope this guidance helps you smoothly transition your emails to iCloud Mail. If you have any further questions, feel free to ask. Good luck!

1 ) Enter in user library ( click on finder take cursor on top menu bar > Go then Hold option key and click on library ) > select mail and right click on copy mail and then right click on empty desktop and click on paste item , the V 10 ( for Mac OS Ventura )folder will be saved on the desktop .

( 2 ) Open mail application and take cursor on top menu bar > file > import mail boxes > import data > select apple mail > click on continue > select desktop > click on continue > the data will start importing and the bar will start loading and let it be completed .

( 3 ) Go to system preferences > internet accounts > select the web mail account and click on minus sign it will be deleted .

( 4 ) You can see the mail data is transferred in the bottom mail side bar but everything is empty there are no mails in sent , inbox or archive but a folder " import " is visible click on drop down arrows of each folders .

( 5 ) And if you plan to switch from yahoo to google or even change the internet servicer provider the folder " import " is still saved in the empty mail application .

( 6 ) When you configure the mail account by taking cursor on top menu bar > click on add account > choose a mail provider and select the box and click on continue > add new web mail address > click on next > and type the password > and click on done you will be joined to the new server say yahoo ( that is still empty for your mail account as you recently joined this new server and no data is saved on their server , but still the mail folder " import " is in the mail application .

You can scatter the mails in the desired mail boxes .

Note : While performing these steps the fans will start running and the system will heat up but this is normal as the data is transferred , and it will take time to stop the fans and system will cool down .

Hello,

It's great to hear that you were able to move the folders from your old email account to your iCloud Mail account on your Mac, and it appears to have worked for you. Dragging and dropping folders should generally work for moving emails between accounts or even within the same account.

However, there can be some limitations or issues depending on the email service providers and the email clients being used. Here are a few reasons why it might not work for some users:

  1. Compatibility: Some email service providers or email clients might not fully support certain drag-and-drop actions. Compatibility issues can arise, especially when moving emails between different types of accounts (e.g., IMAP to POP3).
  2. Folder Structure: The folder structure and naming conventions can vary between email providers. When you move folders between accounts, the email client needs to ensure that the folder structure is preserved. If there are discrepancies, it could lead to problems.
  3. Email Format: Different email providers may use different email formats and standards. While most email clients can handle common formats like EML or MBOX, issues can occur if the source and destination services have different email format standards.
  4. Syncing and Timing: Sometimes, emails may appear to have moved successfully but may not synchronize properly between the source and destination accounts. This can be due to syncing delays or issues with the email client.
  5. Errors and Glitches: Like any software, email clients can have occasional glitches or errors that can affect drag-and-drop operations. These issues are usually temporary and might not happen consistently.

In your case, it's possible that the drag-and-drop method worked smoothly because your Mac's Mail app and iCloud Mail are both Apple products, and they are designed to work seamlessly together. Additionally, if your old email provider allows IMAP access, it increases the chances of a successful transfer since IMAP maintains the email folder structure.

To ensure data integrity and prevent any issues when your old email provider turns off its system, it's a good idea to recreate the email folders and move the individual emails manually, as you mentioned. This will help ensure that all emails are properly organized in your iCloud Mail account.

Ultimately, the success of moving emails via drag-and-drop can vary depending on specific circumstances, but it's great to hear that it worked for you in this case.

In today's digital age, email data is of utmost importance, containing both critical and confidential information. Therefore, it is essential to regularly back up your email to prevent data loss and ensure the availability of recovery options from those backups.

Hello aswinpnr,

thank you so much for your detailed step by step guide to my question and apologies for the delay in responding.

I have one question: Before receiving your response, I had dragged and dropped the folders from my old email account to my icloud mail account on my mac and it appears to have worked. Of course I will not know until my old email supplier turns of their system.

Is there a reason why I can't do this and why it would not work?

For safety measures, I will recreate all the email folders and move the individual emails to the appropriate folders but just curious why it doesn't work and why it appears to have worked.

thank you once again
