New protocols for using Apple Mail with Hotmail accounts

Microsoft has announced the following:


"The safety and security of your information is top priority for Microsoft. To help keep your account secure, Microsoft will no longer support the use of third-party email and calendar apps which ask you to sign in with only your Microsoft Account username and password. To keep you safe you will need to use a mail or calendar app which supports Microsoft’s modern authentication methods. If you do not act, your third-party email apps will no longer be able to access your Outlook.com, Hotmail or Live.com email address on September 16th."


I use Apple Mail for all my email accounts which include two hotmail accounts that need to be redefined as 'outlook' accounts with new security parameters for them to work with Apple Mail, otherwise I am going to lose access to these accounts via Apple Mail. I have Apple Mail installed on all my devices, the principle device being a Mac Mini (Sonoma 14.5). Obviously these email accounts will be available via other email apps like Outlook for Mac and via a web browser.


According to general advice that I have looked for, the best way continue to use Apple Mail is to delete the accounts from Apple Mail (via the Mac Mini) and then add them again with the new Outlook parameters which are not simply the current account name and password. Doing this does not alter any emails that you have stored on the Outlook server - the account name is not changing.


I have all of my mail stored in mail folders on my Mac. I don't keep the messages on the remote server. The only messages that are held on the remote Outlook server are the most recent in my Inbox i.e. those that I have not yet moved to other folders on my Mac and those that have not yet been deleted from the remote server.


So, if I delete the accounts in Apple Mail (on the Mac Mini), I am going to lose all of the history of my emails stored in the various mail sub-folders for the corresponding email account on my Mac Mini. As there is no copy of these on the remote server, they will be lost forever. Adding the new Outlook version of the accounts will not connect these accounts to their history in Apple Mail.


I must admit that I am a bit lost as to how I can continue using Apple Mail for my two Hotmail accounts. The only thing that I can see that I can do is the following:


Copy all subfolders for these email accounts on the Mac into new subfolders for another NON-Hotmail account that I currently use.

Delete the Hotmail Accounts on my Mac, thus deleting all of their sub folders.

Add the new Outlook versions of these accounts with the necessary parameters.

Re-create the subfolders for those accounts and then move all of the previously moved emails back to these accounts.

I understand that deleting and re-adding the accounts on my Mac will be reflected on my other synced Apple devices (iPhone, iPad etc) which don't contain the history, as this is only on the Mac Mini.


I hope I have understood the situation correctly and explained it well.


I don't want to use different apps for my different email accounts. I want to maintain them all in one application if possible.


Any help would be greatly appreciated. There is a distinct lack of information about this one the internet. Sorry if this message is a bit long or is incorrect in any way.

I'm not sure if I quite understand what you were saying, but deleting your Outlook account off macOS Apple Mail should not delete mail that you have moved from Outlook to an On My Mac subfolder. Those stay. What is removed is references to IMAP Outlook subfolders and email, which are all in the cloud. The actual subfolder and emails remain in the cloud; those are not deleted either.


The issue and current solution is this:


On September 16, 2024, Microsoft will stop accepting Basic Authentication (email and password) to access your Outlook/Hotmail email via third party clients such as Apple Mail; it will henceforth require Modern Authentication.


I think a lot of people, when adding their personal Outlook/Hotmail accounts to Apple Mail, choose "Other Account" and fill in their Outlook/Hotmail credentials. I believe "Other Account" is a catch-all for any other email service provider; and it will probably only ever offer Basic Authentication. Apple strongly suggests choosing Microsoft Exchange in their FAQ for all Microsoft email addresses, organizational or personal. On iOS, Apple gives both Microsoft Exchange AND Outlook as a choice. They do NOT yet do this on macOS. On MacOS, you must choose Microsoft Exchange.


So if you currently have a personal Outlook/Hotmail account set up under "Other Account," delete it. This will remove all references to it in Apple Mail. Set it up again, but choose Microsoft Exchange. Then choose "Sign In," not "Configure Manually" -- the latter will result in an error. Microsoft will ask you if you mind Apple having access to your account (Apple Mail needs this access to work), confirm and all of your email and subfolders will repopulate in Apple Mail. Your folders will say Exchange instead of Outlook but everything else will be the same. Deleting/flagging email in macOS Apple Mail set up under "Microsoft Exchange" will correspondingly delete/flag mail in iOS Apple Mail set up under "Outlook" without issue.


Until Apple adds an explicit Outlook choice in macOS Apple Mail, this is the only solution. The good thing is that it works and you will no longer have to keep signing into your Outlook account in macOS Apple Mail.

Update: Mail is getting in and going out, though I've had two alerts popup after I send mail from the new Microsoft Exchange account saying there is an issue sending mail with the selected Exchange server. But I tell it to use that Exchange server and the mail does go out. For me it's not a big issue as that Hotmail account is not an account I use much. Most of my mail goes through accounts on my own email server, Apple's iCloud server, or Google Mail. But at least I know that my Hotmail mail did not vanish when I added it as a Microsoft Exchange account, and then deleted the Hotmail/Outlook account.

Outlook apps and web have ads. Is it possible MS may be limiting some access that they weren't doing before to force people out of some the platform to theirs?


All in all, I've logged in my account via Exchange without deleting the other. I'm to afraid to lose the flagged mails. It looks like they are flagged on the new account though.

I have the same concerns as everyone commenting on this thread. I have multiple very old hotmail and gmail accounts and want to be smart about how i proceed with addressing the MS requirements regarding modern authentication. Everything I have read to date, including links sent by Microsoft and the references made in the emails that were sent to each of the affected accounts on 6/28 point to two options. Using the new Outlook app for iOS and macOS and MS Exchange. I have to date installed the Outlook app on my iPhone and iPad and added all my email accounts to this app and all are syncing correctly between the Outlook app and the Apple Mail app.

My immediate questions are, for all of you going the route of adding an Exchange account and continuing with your Apple mail app: 1. Do you already have an existing Exchange account, either on its own or via MS 365? 2. When I read about MS Exchange and Exchange accounts, it refers to Exchange as being a free standing server most utilized by businesses and academia, and having IT professionals as admins etc and the account you set up is in a server, and is not the same as a client account like Outlook, Hotmail, Live etc. Is this the case? 3. There is a subscription for the service from what I read about using Exchange accounts. Has anyone had to subscribe?

4.If I go the route of changing each of my email accounts in Apple Mail, and add a new account, should I select Outlook or Exchange? If I select the Exchange option, am I then going to be directed to use my existing Exchange account sign in credentials? ( which I don't have because I don't have an Exchange account or a 365 account) or will I simply be able to select Exchange just like selecting Outlook?

It's good to hear some success stories. I have tried to do the same just now with a newer hotmail account with very little saved material. Using the exchange choice on Mac mail, it is not recognizing the original Hotmail email address for the account of choice and it's password. I have deleted the original account. Did save the emails first. But this brings me back to my original question- when it initially asks for an email and password, is this for an exchange account? Like when you open a separate Microsoft account? Or do I put the Hotmail address in for the email and the password for that account that I have deleted and am trying to re add?

Ok. This is creating a huge headache for me - as it sounds like it is for most of you. Using a hotmail account I use for just junk, I set it up on my iPhone using the Outlook option, and it was all great. Went to my MacBook and did the same using the Microsoft Exchange as suggested, and it worked swimmingly as well. Now, here is where the problem arises. In the old way of doing emails, I had mine set up as a Pop acct and not an IMAP acct. That meant that emails downloaded to my phone were still left on the server until I downloaded them onto my MacBook. In the Exchange protocol, they downloaded onto my phone and onto my Mac. Great I thought I have this sorted! But nope. When I deleted the emails from my iPhone, they also deleted off of the server AND my MacBook. This will be a disaster for me. As I use my phone during the day, I read and delete emails as needed, and then the next morning, download everything onto my MacBook. That will no longer work because the emails will no longer be on the server, because once they're deleted from my phone, the server deletes them. I'm not sure what the workaround for that is. Anyone have any ideas?

Late to the game and just posted the solution that worked for me. It's not as complicated as many are making it out to be. Use the Exchange option to log into your outlook/hotmail/live account instead of "other" and I don't think you'll keep getting the dialog box asking to sign in with your password. I won't use Outlook on my devices and Apple Mail continues to do everything I need. Positive replies only please, we're all just trying to help. . . .

I would just like to add, This is not okay Apple. A solution which begins, "Delete your account," is not a solution. There were a myriad of ways to make this change easier, but for whatever reason Apple chose not to. I've put a similar mail on a Microsoft board, because I think the blame can be spread around. Shame on both of them.


I would just add, both pretend to be devoted to "net zero", but what this means is that they will be buying carbon credits, many of which are dubious (e.g. credits for not cutting down a forest when it wasn't going to be cut down anyway). But a real "net zero" solution is to allow people to use their devices longer, rather than having to change them - but no, they have to make it as difficult as possible to keep old computers and old systems.

I think what is confusing is that you do end up removing the old account from Mail, so the process seems like you are deleting the account. And it seems like you are in danger of losing all your emails. Even though all you are doing is changing the method you use to log into your account.

Since there are millions that have Hotmail, Outlook, etc. accounts, Apple could have designed Mail to handle this better and had a smooth way to step users through changing their Hotmail/Outlook accounts to use Exchange to log into Microsoft email servers.
