Find frequently used words

Is there a way to find frequently used words in a document? Or how often the most frequently used words are used?



(It's useful so that I don't use a particular word annoyingly often. I can pinpoint over-use and replace with a synonym.)

I agree with Peter.


But if you really want a count of how many times each word is used in a document, the process is not all that difficult using Pages AND Numbers (but it is tedious). Result shown for a short work that should be recognized by most with any English background.

The result shown includes the optional steps for a shorter list (each distinct word shown only once).


  1. Copy the text and paste it into a new Pages word processing document.
  2. Use Find/Replace to Find all occurrences of two contiguous spaces ( ) and Replace them with a single space ( ). Repeat until Find/Replaces reports none found.
  3. Use Find/Replace to Find all occurrences of a space, and Replace each with a return.
  4. Select the resulting list and Copy.
  5. Switch to a New Numbers document.
  6. Click on cell B2* and Paste. the list will fill column B of the table (maximum about 65 000 words)
  7. Click on C2 and enter the formula =COUNTIF(B,""&B2)
  8. Click the column reference Tab for column C to select the whole column, then command-click cell C1 to remove it from the selection.
  9. Go Insert > Fill > Fill Down to fill the formula into all of column C below C2.
  10. Click the Reorganize button to show the Reorganize dialogue.
  11. In the Sort section, choose:
    Column C Descending then click + and choose:
    Column B Ascending
  12. (for a shortened list)
    Add Column D.
    Formula in D2, then filled down as described above: =B2=B1
    in the Filter section of Reorganize, set the following:
    Column D is FALSE
    Click to check the checkbox.


Peter's still correct, though; this tool isn't likely to make anyone a better writer, and the time would be better spent rereading the work with an ear to hackneyed and repetitive phrases (and other flaws).

Peter: Thank you for pointing that out. Ouch! These forums are better than speelcheck. I meant to say heed, as you may have inferred through context. I have been an android far too long and I would be kicking myself right this moment if only my robotic legs weren't so rigid. I am so ashamed! I love the Mona Lisa sketch: Brilliant.


Barry: Thanks for answering the original question, which turned out to be a Freudian slip for "I'm in need of writing advice". You are right: Peter is still correct. That is a terrifically astute observation. This advice is such a pleasant surprise, a fortune cookie after a meal, not the thing I ordered, but definitely more significant & life-changing.
