Mac E-mail clients display wrong sender name on redirected messages from exchange server

We were recently moved to Office 365 (Exchange) at my campus.


Things work pretty well, but one thing with Mac E-mail clients specifically really bugs me. This is true for both Mail.app and Outlook 2011 (and even the new Outlook 2015 in my limited testing).

In my department, we use Request Tracker (RT), a web-based help desk ticketing system. When a customer sends an E-mail to support, RT redirects/forwards that E-mail to all individual E-mails of help desk staff.


When using the Outlook Web Client, these redirected E-mails messages display the sender properly as they did before using Office 365’s Exchange server. For example, the sender name will be listed as "John Doe via RT” or if the sender is not in my address book it will be “john.doe@myuniversity.edu via RT”.


Now, if the E-mail client is left on all the time (and the Mac doesn't sleep), the sender name displays correctly, but if for example I turn off Mail.app over lunch, when I turn it on later, if there are messages from John Doe, Adam Smith, and Amy Appleseed, the three E-mails will display in the list as being from "John Doe via RT” (or whomever the first sender was). The content of the messages themselves is as it should be.


To add another wrinkle, in Outlook 2011 (not sure about Outlook 2015) the sender name within the preview pane matches the incorrect name in the messages list at the left, but in Mail.app the name displays correctly in the preview pane, but is still displayed incorrectly in the message list along the left side. ***?


It seems as if both Outlook and Mail.app are caching the address of the sender— support@mydept.myuniversity.com, as "John Doe via RT” (or whatever name comes first) and then if there are more redirected messages from support@mydept.myuniversity.com already on the exchange server it makes the incorrect assumption they are also from “John Doe via RT” presumably for the sake of performance.


I have tried re-syncing and rebuilding inboxes, which seems to make things worse. Emptying the folder cache in Outlook doesn’t help either. BTW, this same behavior happens on more than just my Macs.


Just wondering if anyone else has seen this problem or might have a solution.

Everyone, if you could post the details of your environments in this thread, I think that would be helpful in tracking down the root cause of this issue. So, please include your mail provider/host/server with version info, mail clients you're having the issue with, as well as your installed OS version.I've recently added this thread to my bug report with Apple on this issue, and if they take a look at it, having the information already here will be useful.


I'm also at the point where this may not be an Apple problem as I have started seeing this same issue in both Outlook 15 and Outlook 2011 on both Mavericks and Yosemite. I'm starting to think this might be an Office365/Exchange 2013 issue. I'm in the process of setting up a service request with Microsoft through our Office365 account. I would recommend that those of you that haven't already, open up support requests with Apple, Microsoft, and your email providers. The more reports Apple and Microsoft receive on this issue, the more likely it is to get fixed in the near term.

We are seeing this with multiple users in our office. If happens when inbound from any service with a masked email (I.E. blah@jobvite.com or blah@zendesk.com) then the email preview will show any number of names in it in the From section (except the actual person it's from).


This started a while back and is likely an OS level issue as it happens with Mac Mail as well as Outlook for Mac 2011.


This is widespread across quite a few of our groups and is something that could be very problematic if the users aren't diligent. I.E. Email displays it's for client1, but is actually client2. Recruiter sends client2 client1's offer letter. We've looked and there is no way to display the email in the preview pane instead of the name, so it's up to the user to discern if the preview is in fact correct.


Is there any forward progress on a fix? I would imagine if it was inherent in Outlook for 2011, it would have pre-existed, but we've used outlook for mac 2011 since it came out. Many of these users haven't updated outlook for mac in some time so it wouldn't be an update.

I just wanted to everyone know that this problem exists with Outlook for Mac 2015 as well.


I don't know, but I would guess that the fault lies more with Apple since it happens with both Outlook and Apple Mail. Unless there is some crucial Exchange info that Microsoft is not giving to Apple.


I just hope it gets resolved soon.

Ok, I've spent the afternoon today going back and forth with Microsoft support on this, and apparently it's a known issue with some Office 365 tenant versions of Office365. According to the support representative I am working with, this issue has been fixed in build 15.01.0103.000. Our tenant is not up to date, which explains why we are still seeing this issue, I'll update here with progress as things move along. In the mean time, I strongly recommend those of you who haven't contacted Office365 support for this issue do so since there is a fix out there. I'm trying to get confirmation as to whether or not this also affects on premises Exchange servers as well, but I'd be surprised if it didn't.

After a few false starts and a whole mess of testing, it looks like updating the version of the O365 tenant solved the issue, at least in my instance. The version required to fix the problem ended up being newer than the one I listed above, I don't have the exact version number, but I know that our tenant was updated beyond the version that MS support told me contained the fix before the problem went away.


Also, while I haven't been able to get official confirmation of this, I strongly suspect that this also affects local Exchange 2013 servers as well.


I hope that this helps those of you still experiencing this issue. Remember, if you are experiencing this issue with an Office 365 account, submit a support request or have one of your admins submit the request to have your tenant updated.

Thank you for the help with this. Would it be possible for you to post what version tenant you are running at now with the problem resolved? I'm running 15.1.93.21 and still seeing the problem. Mine seems to be a good bit higher than what you previously stated but I know you said you installed something higher which resolved the problem. Just wondering if it's higher than what I'm running or not.

I can do that, it might take me a few days as I'm not the admin for our account and don't have access to the PowerShell commands to get our current tenant version. I will say that it took about a week and a half after the initial update to the "fixed" tenant version before things started working properly for me, hence my suspicion that there were further updates that actually fixed the issue.

I have this same problem. I host my email through Exchange at my office. However, whenever I send an email from my phone or home [iphone 6 or mac mini with latest Yosemite] the email comes through with my wife's name.


not sure if it shows my wife's name to the people I am emailing, but when I email myself, it comes up with her name.


Any progress on this?

Hi all,


The problem appears to have been corrected at my organization. It has been over a week now with no reoccurrence in either Mail or Outlook, so I'm satisfied. As I am not an administrator, I don't know what was done, but I suspect there was an update done to the exchange server.


I will inquire my contact to see if he can find out anything that may help others, but I never really got much feedback from my previous inquiries. They may have just applied exchange updates as available and the problem got addressed that way.

I have a similar problem - I have a Mac Pro (Early 2008) running Yosemite most recent version and my Mail program is displaying my boss's name in the preview panel as "OK Koral Marketing, Inc", a company that I emailed a month ago for the first time in years. I think my boss had forwarded me a message from them years ago and that is the only link I can find between her name and them. However, when I search under her name, the email itself has her correct name at the top. It's only in the preview panel that it appears as OK Koral. It's so weird but a huge problem for me since I scroll for her name often. I have her in the VIP list as well. This only happens on my mac at work, not on my phone or iPad. Any ideas? ??
