I recently started using Numbers instead of Excel

I just started using Numbers instead of Excel. I converted one workbook and all my information & formulas work great. I have 6 sheets in the workbook, but Numbers treats them as separate sheets & I can't print them all at once? How do I print all 6 pages as one print job?

2nd Question: I had some shading in several rows on some of the sheets. The shading is now just a dark black cell across the row. Is there any way to use shading in Numbers? Any help would be appreciated.

When I started to use Numbers, I was an Excel thinker. This forum taught me the main differences between Excel and Numbers:

  • Excel has "islands" of data in a huge "ocean" of a pre-set Sheet. (but see SG's comment about tables in Excel).
  • Numbers uses several small, discrete Tables, each with a purpose.
  • Excel allows you to Set Print Area. Numbers does not.


The biggest leap forward for me was to realise that in Numbers, the idea is to have a database (a table on another sheet, not for printing) and a "Presentation" (summary table) that pulls values from the database. Numbers is "Presentation" oriented.


To answer your Question 1,

How do I print all 6 pages as one print job?
  • Menu > File > Print... to see Print Preview.
  • In the Panel on the right (Print Setup) Print > This Sheet or All Sheets. Choose All Sheets.
  • Drag that Panel up to see Page Margins.


Some hints on how to layout objects on your sheets:

  • Menu > Numbers > Preferences > Rulers > tick every box.
  • Menu > View > Show Rulers.

Have a play with dragging objects around the canvas and see how the Alignment Guides work. Hint: drag tables by the "bullseye" (top left).


To answer your Question 2,

Is there any way to use shading in Numbers?

Select the cells that you want to shade

Format Panel > Cell > Fill > Choose a fill type

Choose a colour from either the preset palette or the rich range in the colour wheel.

Thank you for your reply. Sorry I didn't immediately reply but the answers you gave did not work. I kept trying to figure out why they did not work, then it dawned on me that I didn't have the latest version of iWorks. Once I downloaded the latest version everything started working fine. Just a hint, I got the latest version free by downloading the "Trial Version", opening each program & then closing them & when I went to the App Store it asked if I wanted to update for free (and I did). Again, thank you.
