How can I tell Numbers to calculate my earnings per job, by multiplying my hours worked by hourly rate?

Hi all! I’m a freelancer trying to create my own tracking/invoicing history spreadsheet.I’m wondering which formulas to use and how to use them for calculating how many hours I worked by hourly rate. This is as far as I have gotten on Numbers where I have created a way to track my jobs, but I want to be able to input the hours worked, and it automatically calculates my earnings by knowing my hourly rate. And at the bottom shows my total earnings with that company?

If I understand your question correctly, this may help.

Tested in Numbers for Mac. I am not able to test this on an iOS device.

My brain prefers to break a problem down into small steps, hence the many columns.

Enter your Hourly Rate in Column C. That allows you to change the Hourly Rate for each job if necessary.

Format Columns E and F as Text. Enter Start Times and End Times as 13:00 for example.


Fill these formulas down.


Formula in G2 =IF(OR(E2="",F2=""),"0h",F2−E2)

That will return 0h (zero hours) if either Start Time or End Time are blank. Else it will calculate the Duration (hours) of a job.


Formula in H2 =DUR2HOURS(G2)

That converts a Duration to a decimal number of hours.


Formula in I2 =IF(AND(H2>0,H2<1),1,H2)

That returns 0 for an uncompleted job, rounds up a short job to the 1 hour minimum, or returns the Duration for a completed job .


Formula in J2 =MAX(I2,H2)


Formula in K2 =C2×J2


Formula in Footer Row K8 =SUM(K)


Hide any intermediate columns that spoil your display.

Hi Ian! That was definitely a great breakdown, but I am a full on beginner when it comes to numbers. While I’ve tried inputting the formulas you give me into numbers, it’s still not adding up. I’m sure I’ve gone wrong somewhere! When I go to add a formula it gives me the option for “sum, product, etc...” just not sure which to choose and how to get the outcomes I want. Your snapshot example is perfect, I wish I could convert that to my numbers and ta-da! Let me know if u have any further guidance. Thank you!

You can either type a formula (start with the equals sign) or select a formula in my previous post and Copy. For example,

Make sure that you include the equals sign in the selection.

Click (or tap) on cell G2 and Paste.


As for the SUM in cell K8, make sure that Row 1 is a Header Row and Row 8 is a Footer Row. As you add more Body Rows, the SUM formula will automatically in include them.
