outlook 2003 notes not syncing with iphone

I cannot say for sure if this is a new problem as when I first purchased the iPhone 3GS 32GB (iOS 4) in June, running iTunes 9.2.0.61 on XP (all current updates applied), I got all notes from Outlook onto the iPhone. I updated some notes yesterday in Outlook, and noticed they weren't sync'd with the iPhone. This applies to both updated or new notes on Outlook. The same applies in reverse, in that any notes updated/created on the iPhone does not sync with Outlook.

Any sage advice on what's going on?

With all due respect . . .
My problem is the one where
1. I command iTunes to sync Notes with Outlook Notes
2. The option for Notes does not appear in settings / Mail, Contacts, Calendars (I don't know whether it appeared before ~ 20 January 2011)
3. I had been using a simple "Notes" folder in Outlook, and none of the Outlook folders sync. Not even an experiment "Handheld Synchronization" folder which I generated for test purposes.
4. Notes Sync had been working fine, until ~ 20 January 2011.
5. All other Sync Functions continue to work well.
6. As of 20 January 2011, Sync Notes appears to have stopped functioning, in either direction.
7. I did not willingly install anything new.
8. Unsuccessful attempts to re-establish notes sync:
a. De-authorize and re-authorise
b. Forced copy from computer to Notes (did not comply)
9.Incidentally, iTunes hangs for 3 minutes while syncing notes, then resumes the sync. This is too long for any sensible sync. Even so, it doesn't sync.
10.Bookmarks also take much too long to sync.
11. I have just upgraded to the latest version of iTunes (whatever came down the tubes today). No joy

Any other advice? Thanks!

In Outlook go to:
Tools
Send/Receive --> Send /Receive Settings --> Define send/receive groups -> highlight( All Accounts) -> Select Edit
Make sure "Include the selected account in this group" is checked
Under Account Options make sure the following are checked:
Send Mail Items
Receive mail items
Download offline address book

Under Folder Options:
Have the user make sure the 'Notes' folder has a check mark next to it.
Click 'OK', Have them try to manually sync from the mail setting on the iPhone. If that doesn't work:
i) Open Itunes
ii) click on iphone in menu under 'Devices'
iii) go to 'Info'
iv) click on what you would like replaced and
v) hit 'Sync' button on bottom right

Outlook notes will not sink with iPhone or iPod if a note is not at the top of its page. There must be a "subject".

You can check by clicking on your notes and changing the "arrange by" to "Subject". If you scroll down and don't see anything in one of your notes then open it up and bring the verbiage to the top of the note page.

That should take care of your problem. It certainly worked for me.

Thanks so much for everyone for helping me sort this out. It has been driving me mad! I have Outlook 2007 so no sync options apparent to me in Outlook. As someone quite rightly pointed out, in Notes on the iPhone since the last upgrade there appears to be 2 sets of notes, one is "My PC" and for me there was also "Tony's Email", ie. the iPhone is trying to sync notes over email. This explains why on the iTunes sync screen for the notes bit, there was some cryptic comment about "over the air". I presume this means your notes are being synced over wifi/3g along with email. However if you're not saving your notes for example in a gmail account then you don't want that! To solve this I went into my iPhone's "Settings" app and under "Mail, Contacts, Calendars" I went into the mail option (top one) and turned off the Notes IMAP sync. Now when I update a note on my iPhone it updates Outlook as well when I sync! Unfortunately the new notes I have created since the upgrade have disappeared, so watch out for that, but for me well worth it.

In my case Notes synchronisation with Outlook over USB worked fine for quite some time. Today I noticed that the newest notes from the laptop were not on the iPhone and vice-versa.


I am using Outlook 2010, iPhone 3GS with the newest OS 4.3.5.


On my iPhone is only one Notes account not several as described above.


But on the laptop I had suddenly in Outlook an additional Notes folder called 'Handheld-Synchronisierung' (no idea why in German, both Outlook and iPhone are in English) in which all of the notes from the iPhone were.


I copied all notes in Outlook in a backup folder just to be on the safe side, deleted the new additional Notes folder 'Handheld-Synchronisierung' and synched again with the iPhone => all notes were available on iPhone and Laptop.

I have a 3GS and was originally running Outlook 2003 and had no problems with sync.

My issue is with the Notes section within my Contacts, which I use extensively and update frequently depeneding on my activity with a particular Contact name.

When I updated to Outlook 2007, any changes to the Notes section of a Contact would not update from my iPhone to Outlook. It always brings back the original Outlook Cantact Notes entries to my iPhone and not the other way around.

After experimenting quite a while, I found that for newly created Contacts (after I upgraded to Outlook 2007), I could modify or add to the Notes section of a contact name and would work fine. That is, the Contact Notes info I modified on my iPhone Contact would update properly to my Outlook contact after a sync.

However, any Contact that I had previously created and sync'd, in Outlook 2003, would not update for any changes to the older Contact's Notes section. It would always update from the Outlook Contact's Notes section to my iPhone Contacts and I would lose any new info I had entered into the iPhone Contact Notes section. Very frustrating.

So I tried some experiments and found that if I went to Outlook 2007 and copied the older contact name to a new temporary name (slight variation of the original name), then deleted the original Contact, then renamed the temporary Contact name back to the original name, I was able to make changes in my iPhone Contact Notes section and when I sync's, the Notes section updated to Outlook 2007 properly.

It's as though creating a Contact within Outlook 2007' s data base is necessary. There looks like there is a compatibility issue between Outlook 2003 & 2007.

I don't know what the global solution is but hate to thinnk I have to go thru this process for all my previously created Contacts under iPhone 3GS and sync'd to Outlook 2003, and copying/saving each individually Contact under Outlook 2007. I have hundreds of contacts.

Anyone think of a solution....Apple certainly doesn't seem to care and should had fully vetted updates to make sure there was compatibility.

With the help of all of the previous posters, I finally figured out this issue that has dogged me since last fall. Like most of you, my Outlook Notes used tosync without issue with my iPhone Notes. I can’t say when they stopped syncing – I just one day discovered thatthey weren’t syncing in either direction.


So you can compare if this is going to work for you, here’smy set-up: Windows XP; Outlook 2003; iPhone OS 4.3.5 (current as of today); iTunes 10.4.1.10 (current as of today). I keep notes only in two places and updateand/or create them from both places and expect the most recent changes to supersedethe old; I perform my syncs manually via plug-in USB. I don’t subscribe to MobileMe or iCloud.


Here’s how I solved it (I hope it works for you):

  • On iPhone, I opened the Notes app and saw that I had a button in the top left side labeled “Accounts”. I clicked that and saw several choices: “All Accounts”, “From My Computer”, “Yahoo”, and “Gmail”.
  • The one checked was All Accounts. When I looked at the account “From my PC”, it had all my old Notes. When I looked at the account “Yahoo”, it had all of my more recent Notes that had been created on my iPhone, but hadn’t sync’d to my PC.
  • Since there were only about 10 and they were relatively short, I copied them all by hand onto paper. If yours are more numerous or larger, you could copy and paste them into an email to yourself to avoid the retyping.
  • Then I went into Settings>Mail>Yahoo and turned Notes off (I’ve never used Yahoo for notes so I’m guessing this was a misguided attempt by Apple to create more functionality). I did the same with Gmail – turned Notes off.
  • I don’t know if this was necessary, but I turned my phone completely off, then back on again.
  • Then I opened the Notes app and the “Accounts” button was gone and my old Notes were all there.
  • To test if it worked, I made updates in all directions and sync’d after each change to verify a proper sync. Each time it worked flawlessly. Ex: Add new note on iPhone and sync. Showed up in Outlook. Edit old note on iPhone and it sync’d to PC. Then I added a new note and edited an old note from my PC with a sync in between. All changes sync’d flawlessly.


So my problem solved at least until Apple pushes settings tomy phone again. Fingers crossed thatthey don’t. I hope this worked for yourconfigurations, too.

Outlook 2010, Iphone 3GS IOS 5. It took awhile but this solved the problem. By right clicking on the device and backing up. Followed by a right click sync. It finally did it. Before this it would not sync either on usb or over the wifi. Thank you Eddy!! One more problem it will not sync twice in a row unless you reboot the phone! This is not a problem if you are not syncing notes!

NOTES users - Do yourselves a big favor and get the free version of Evernote. I had a Palm with over 100 notes in alphabetic order, which synced to Outlook XP (2000). After getting my iPhone 4, and syncing, the Notes on the phone were in total chaos because the only way to sort them is in date order, and they all had the same date from the sync. Evernote resides on your phone and on your desktop (both PC and Mac) and you can have multiple notebooks, use date or alpha order, include pix and docs, etc. The free version has more than I thought I would ever use, but slowly, I'm using it all because it just makes life so much simpler. I only sync on wifi, and it really just takes care of itself. Oh, yes, very important little detail. After installing the Evernote desktop version, open Outlook to see that lovely Evernote icon in the toolbar. You can then select all notes and export to Evernote en masse, which is how you get hundreds of notes onto your Evernote phone app in the order you please without having to retype them all. (Full disclosure - before I got Evernote I had upgraded to Outlook 2010 - I needed multiple calendars).
