“Keep folder organisation” in Photos but still photos are shuffled inside folder

I'm attempting to import 800 scanned slides of my father's into Photo on my MacBook Pro and then I will sync it with my iPad and iPhone.

In order that I don’t just get a huge random batch of photos, I am first of all sorting them into folders by year, according to the box they came from. It ranges from 1958 to 1974. I have even arranged them within the folders, in some approximation of the order in which they were taken, by using the file numbers. I'm trying to make it as easy as possible for my dad to enjoy these.

Here's my current issue. Although as I import each folder and check the box “keep folder organisation”, and Photos does indeed make a folder to put them in, the photos in the folder are totally randomised! Why is this? And how can I make photos keep all my hard organisation work?

Is it because Photos is totally obsessed with the “date” in the metadata of each photo? Obviously the person scanning the slides just did things randomly from within each box.

If this is the case then how can I simply override it?

I have to say that iPhoto was a much better tool for organising photos. Photos seems he’ll bent on randomising everything especially when it syncs across to my other devices. And as for “people” with adding faces.....well let’s not even go there.

I'm running a MacBook Pro Retina with High Sierra. And an iPad Pro running 12.1.1

The import option "Keep folder organization" will import the photos into folders and albums corresponding to the nested Finder folders.

You can sort the albums manually, or by the capture date or by the title.

To be able to use the sort commands, you have two options:

  1. Either copy the filenames with the image numbers to the title field. This can be done in the Info panel of a photo
  2. Or adjust the date for each photo according to the correct date the photo has been taken. You can change the date of a photo with the command "Image > Adjust Date & Time".

I am using Apple Script to batch change the titles and the capture dates of scanned photos, because Photos has only limited batch change tools:

  1. To copy the filenames to the titles see this user tip: Script: Batch Changing the Titles to the Filenames with Extension
  2. To batch change the dates of selected photos to the same date see: Script: Batch Change the Date and Time to a fixed date

I understand that I can sort the albums manually. Although these seem to get a bit random when synced with the iPad.

However am I understanding you correctly regarding the ordering of photos within a folder or album is purely date driven? This is what I suspected. But it didn’t seem to be so for iPhoto before. So is the only way forward to batch change the dates using a script?

I have over 800 scanned photos in this batch so I really don’t want to change every date by hand. I’ve already spent 2 days re-naming some file names so they order correctly within the folder.

Are you saying that there is a way to get photos to sort by file name after all? Or is this only in the latest version ? Do I need to upgrade to Mojave first?

thanks for your help

It will depend on the version of Photos.

In Photos 3.0 and 4.0 you can sort an album manually - drag the photos around to rearrange them. Oruse the sort command:

Ctrl-click the album in the sidebar and use "File > Sort > Keep sorted by ...".

But you have to provide the titles for sorting or to adjust the dates for sorting.

If you previously used iPhoto, this has been slightly easier, because iPhoto automatically used the filenames of the imported files as a title. And iPhoto has nice batch-change commands to adjust the dates. Photos does not do that. Photos treats the filenames only as filenames and does not use them as default titles. That is why you need to copy the filenames to the titles manually or by using a script.

This will work on a Mac. I have not found any way to reliably carry the sort order of an album over to an iPad. My way to deal with this is to make many small albums in sorted folders instead of just one large album. If an album only has a few photos taken on the same date or place, it will not matter so much if the sort order is not transferred to the iPad or iPhone. Are you syncing with iTunes or with iCloud Photos?

Ah yes, the old right click on the album does actually let me do that thank you. I am using Photos 3. But I might upgrade to Mojave and hence 4 next week.

I will experiment with this and see how these are carried over (or not) onto the iPad, as this is what my Dad will be using to view these photos.

Because I have a large photo library, (30,000 photos)I sync via iTunes. However I do find that what you think you have organised in Photos on your Mac does seem to become a little random on the iPad. Especially the Albums and their contents and People.

It all seems to be timeline based which makes it hellish to find anything after a few years. The Moments feature is totally useless unless I'm misunderstanding it. To be totally honest I thought that iPhoto was much better at organisation. Especially the "Events" which meant that you could group together similar things without the date interfering. Now we only have albums left.

Don't even get me started on the irritating facial recognition (or lack of it); the inability to add a face on iOS; the inability to add your pet as a face; or the fact that each device ipad and iphone has to start its own scan rather than accept the one from your MacBook....or have I misunderstood something here?

Thanks for your help, I will now proceed to order the photos and import them to see how they turn out.

You can add any face name on the Mac, also for pets.

And if you use iCloud Photos (library) instead of iTunes syncing the named faces will be synced the iOS devices, also the folders and albums, but not the smart albums.

Moments are much more useful, if you tag all photos with places names. Then the moments will be named by the place and the date, and the collections will group related moments (photos taken in the same location/state over several days). The drawback of syncing with iCloud will be the fee for sufficient cloud storage, but otherwise it will give the best syncing results, because it will sync both ways- from the Mac to the iPhone/iPad and back.

thanks léonie,

yes I have my cat named as a person in Photos on my MacBook Pro. But because I have to sync via ITunes then it only appears in that static section “people from my mac”. When the iPad does its own scan it won’t pick up my cat or any other animal face and of course the app won’t let you add faces manually (totally infuriating).

Again we have hit problems with the software.

regarding the people section on iTunes....I think there is a bug...you can check only the people that you wish to sync, but it actually totally ignores this and syncs everyone, including hidden people. Maybe you don’t have this problem since I think you sync via the iCloud yes?

thanks

Neither iCloud Sync no iTunes sync are perfect.

  • I used iTunes Sync for a long time, but it is annoying that the synced those are treated in a special way and edits do not sync back. But the big advantage is, that we can sync selected albums, and that smart albums will be synced.
  • iCloud photos sync is a true syncing and edits I apply only iPhone will sync back to my Macs. It is much better for the new formats on the Phone, like Portrait Mode pictures and Live Photos. But smart albums do not sync. And nearly all my albums are smart albums. I have to duplicate them as standard albums to get them to the iPhone.
