Numbers field to import Contact information

I am building an invoice template in Numbers.

On the final invoice tab where I have my customers name and address:

-I would like to have a cell, that is somehow linked to my Contacts, so that when I start to type my customers first name, I will be shown all contacts in a dropdown that have that name, that I can then select the correct contact.

-After selecting then contact, the form would then import my customers address from the Contacts and populate into appropriate cells.

Is this possible?

Hi Jim,


Numbers has no means of pulling information from a 'outside' document except for links to files or sites on the internet.


You could set up a Customer contact table on a separate sheet within the template to hold the customer list, including addresses and other information then use this as a lookup table from which to retrieve that data.


As for the 'suggestion list' from which to pick the correct name, Numbers will do this automatically if you:

  • make the feature active by checking the "Show suggestions when editing table cells" box in Numbers Preferences,
  • keep a list of your current customers' names in a set of cells in hidden rows of the same column.
  • Maintain the Customer contact table by adding new names and contact information to the template as needed.


With the name entered in the cell, it can be used as the search term for VLOOKUP or MATCH (and INDEX) to retrieve the rest of the information for that customer. For New customers, you would need to edit the name to the list in the hidden part of the invoice table AND the full contact information to the lookup table.


Doable, but possibly a game not worth the candle with this software.
