Syncing contacts, notes, etc. with multiple Macs and iPhones?

My wife and I have Macs and iPhones and, after consulting Apple instructions about doing this through iCloud, are unable to sync and merge contacts, notes, calendars, etc. The problem is not simply with a new contact. For example, the contact list on my wife's phone is entirely different from those on my Mac or hers or my iPhone. Is there a source, other than Apple, for how to do this?

Once she creates an Apple ID -- How to create a new Apple ID - Apple Support, then you can share notes and calendars easily, though not contacts.
