Exchange Sync Issues with Mac Mail - Big Sur

Hi All

So my company has recently moved over to O365 Exchange and our migration went successful,

Mac Mail worked fine for about 1 week with Exchange and then all of a sudden a few office employees started complaining that they not receiving emails, after some investigation it was found that Mac Mail is no longer downloading new mails from O365, the only way to get new mails to download is to rebuild the mailbox, and then a few hours later rebuild the same mailbox again,

Can someone advise me if there is something I am missing or if there is a setting that needs to be changed, I have deleted the Exchange accounts and readded them and the problem persists after a while.

long story short - Mac Mail cant receive new emails without clicking on rebuild each time

Soo we have been testing this for about 1 week now and our Mac Mail problems with exchange seem to have bee sorted,

One of the Microsoft engineers were able to go through our mail settings in our O365 Admin center and picked up something and did a change and voila it seems to be working,

Change was

Under Active Users on the Admin Portal

Select the users affected

you will see the menus open on the right hand side of the screem

click Mail at the top

under Email Apps select Manage email Apps

Ensure that all check boxes are ticked and then click save changes,

if they are all checked, uncheck them and save changes and then go back in and check them again and save

This seemed to have resolved our mail issues

Hello Wezi2302,

Thanks for using the Apple Support Communities. We understand that you're having an issue receiving emails in your exchange account using the Apple Mail app on your Mac. There are a few articles that may help sort this issue out.

Use Microsoft Exchange (EWS) accounts in Mail on your Mac

If you can’t send or receive email on your Mac

You only mentioned not receiving emails, but we want to ask, is there any issue sending emails as well?

Since you stated this was happening to several others as well, are all of you running macOS 11.2 or is this happening under various versions of Big Sur?

Have you tried working with the admin that handles your exchange account? If not, you may want to reach out to them to verify all your settings are the correct configuration for your company.

Best regards.

Hello Wezi2302,

We appreciate the follow up and the additional details. Given the issue, it sounds as though it may be server related regarding push notifications, specifically with the Apple Mail app. Since this issue it doesn't seem to be caused by the most recent macOS update, it would be best to continue working with Microsoft and your company’s IT department.

Best wishes.

My Office 365 mail on my MacBook has always been a bit unreliable, e.g. getting stuck on 'downloading x emails' & them not coming in until I quite and restarted mail.

However, everything is now much worse, possibly associated with the update to 11.2.2 (I have an M1 MacBook Air so I did the update as soon as it became available).

It manages to download the emails in the inbox on first opening, but then doesn't get new mails; sometimes 'synchronise' helps, sometimes it doesn't. I tried deleting the 'envelope' file & it re-loaded the emails, but nothing improved. I've also tried rebuilding the mailbox, but this also doesn't work.

This is using a standard Microsoft-hosted Office 365 account in a small organisation (and I am the admin so could in theory change settings)

If there was a change that could be made in the Office 365 admin that would help then I would be interested to know it!

Otherwise a fix with Mac mail?

Thanks

Hi Eric

Thanks for coming back to me, with regards to the above, I have looked at the links provided above and done everything, from recreating the account, rebuilding it, and even clearing caches etc and all the settings in between but Mac Mail still does not sync with Exchange unless you quit and reopen it,

What I have done to test is downloaded a 3rd party app (Spark) and sent up the exact same accounts and spark does not seem to have any issue, it receives the mails almost instantly when Mac Mail doesnt and would only receive my mails after rebuilding or quitting and reopening

and the answer to your question is we run various Macs in our enviroment but they all between BigSur and Catalina,

I have one machine on BigSur and 2 machines on Catalina doing this

And I am the Admin and confirmed all settings are correct with Micorsoft

Hi there. I've been having the same issue, which first appeared with BigSur back in June2020 (still beta). I've researched it, and dozens of users have reported the same issue throughout the fall and winter. If I find a valuable solution, I will share it here.

Very strange though. The issue appeared out of the blue a few days ago (I"d made no system updates).

Rebuilding does NOT solve the issue. The account seems to synch sometimes only, after quitting and restarting. Very strange.

Thanks - I checked in my case and everything was switched on. I decided to make a change - switching of POP, since I don't use it - and some emails seemed to come into Mail immediately, but I soon realised the problem was not solved.

However, over the weekend Mail did mange to download a large number of emails & appears to be working OK today, so I wonder if there could also have been a problem at the Microsoft end due to the well-publicised issues with Exchange servers being hacked. Even if you assume that this didn't happen to the Microsoft-hosted servers, they could still have been affected by Denial of Service type attacks from hacked servers?
