Passwords and Id
Does every device you have supposed to have a separate id and password? We have 4 devices , does each one have its own Id and passwords. 2 iPhones and 2 iPads . It is not showing my new iPad Air in my devices

Each person should have their own ID. You can set up unique user accounts for each person who uses it on a Mac.
iPhones and iPads are NOT multi-user devices. If one person has more than one device, such as an iPhone and iPad, they should use the same ID on both of their devices.

Apple IDs
No. Not necessarily. You can use a different Apple ID of each, or you could the same Apple ID for all devices, or something in-between.
