Transferring email from an old to a new machine

Hello all,


I recently got a new machine (Mac mini) and I'm in the process of setting it up. The two machines are used for different jobs, so I don't want them to be identical in apps or content (so I can not use either migration assistant or "restore" from a Time Machine backup to copy info from the older to the newer. The old machine is a MacBook Pro running Catalina and the new one is a Mac mini running Ventura.


One of the things I need to copy is Mail. I have seven different mail accounts/mailboxes and quite a few "On My Mac" mailboxes with important information categorised and sorted. So far, I have not been able to find clear instructions on how to do this and I'm hesitant to start manually copying folders from one computer to the other without being sure of what I am doing.


Both machines are connected to the same iCloud account and Mail is checked on both. While both Calendar and Contacts are synchronised perfectly, no mail information is shared. Maybe I'm doing something wrong and I haven't figured it out..?


If anyone has instructions or can tell me where I can find instructions on how to do this I would appreciated it very much!

Thanks for coming to Apple Support Communities for help today.


You should be able to export the mail on the original Mac and then bring it over to your new Mac. This page from the larger Mail User Guide will be able to help: Import or export mailboxes in Mail on Mac.


"Mail can import email messages that have been exported in mbox format from other email apps, and import mailboxes exported from Mail on a Mac. You can export mailboxes in mbox format.


Import mailboxes

  1. In the Mail app  on your Mac, choose File > Import Mailboxes.
  2. Select a source in the list, read the information that appears below the list, then click Continue.
    • If you’re importing a mailbox exported from Mail or a folder in the ~/Library/Mail/ folder on another Mac, select Apple Mail. To get to the Mail folder on a Mac, click the desktop to make sure you’re in the Finder, press and hold the Option key, choose Go > Library, then select the Mail folder.
    • If you’re importing messages from a Windows or UNIX computer, select “Files in mbox format,” then locate the folder containing the files.

3.Reorganize the imported messages, if you like.


The messages are in a new mailbox called Import in the Mail sidebar. You can drag folders and messages from the Import mailbox to new or existing mailboxes, then delete the Import mailbox.


Export mailboxes

  1. In the Mail app  on your Mac, select one or more mailboxes, then choose Mailbox > Export Mailbox.
  2. Choose a folder or create a new folder, then click Choose.


Mail exports the mailboxes as .mbox packages. If you previously exported a mailbox, Mail doesn’t overwrite the existing .mbox file; it creates a new .mbox file, such as My Mailbox 3.mbox."


As far as iCloud Mail not syncing, have you checked iCloud.com from a computer's browser to see if your mail is syncing there? This could further isolate the issue. Also double-check the steps here: Set up iCloud Mail on all your devices.


"Set up iCloud Mail on your Mac


  1. On your Mac, do one of the following:
    • macOS Ventura: Choose Apple menu  > System Settings, click [your name] at the top of the sidebar, then click iCloud on the right.
    • macOS 12 or earlier: Choose Apple menu  > System Preferences, click Apple ID, then click iCloud.


2.If you want to send and receive iCloud Mail on your Mac, click iCloud Mail, then click Turn On or select iCloud Mail (or Mail).

3.If you want to keep Mail settings up to date across your devices, click or select iCloud Drive, click Options, then select Mail. The following settings stay up to date:


    • Blocked senders (for all macOS devices)
    • Email address suggestions (for all iOS, iPadOS, and macOS devices)
    • Flag names (for all macOS devices)
    • Mail rules (for all macOS devices)
    • Signatures (for all macOS devices)
    • Smart Mailboxes (for all macOS devices)
    • VIPs (for all iOS, iPadOS, and macOS devices)


4.To view your iCloud Mail, open the Mail app. Click a mailbox or folder in the iCloud section.

Transfer mail data from one Mac to another .

  • Take back up of all mails in V 7 folder 

Click on finder take cursor on top menu bar > Go and hold option key click on > library > select mail folder > right click on mail folder there itself > click on copy mail > right click on the desktop > click on paste item .

Entire mails are copied to V 7 folder and will get saved on the desktop .

Note : For Mac OS mojave the folder will be V6 , For Mac OS High Sierra the folder will be V5 , For Mac OS Sierra the folder will be V4 , For El Capitan - the folder will be V3 , and for OSX Yosemite the folder will be V2 .

Take a USB flash drive and copy V7 folder into it , once it is copied right click on the USB flash drive and eject it .

Insert the USB flash drive in the second machine .

Configure new IMAP account in another machine and take cursor to the top menu bar , file > import mail boxes > import data from > select apple mail > click on continue > select the back drop folder then choose new .

When new IMAP account is opened a new folder with all mails will appear in the mail side bar , you can rename the folder .

Note : this was all your mails including gmail , iCloud accounts will be transferred from one Mac to another , the mails that are saved in " on my Mac section " are confined to the mail application .

Hi Michael,


Thank you so much for your reply. From first sight it looks like:

  1. Cloud only shares data for the @iCloud email not for any other domain email addresses although I'm not 100% sure about this.
  2. I need to create my email addresses in the Internet Accounts on the new machine before trying to import mailboxes. Is this correct?
